Job Summary

We are seeking an experienced and proactive Assistant Manager Administration to oversee hospital administrative operations, support services, patient facilitation, quality management, and security coordination. The ideal candidate will ensure efficient day-to-day operations, maintain high service standards, resolve patient concerns, manage administrative and security-related issues, and support continuous quality improvement initiatives to enhance patient satisfaction and operational excellence.

Key Responsibilities

  • Manage and supervise daily administrative operations to ensure smooth functioning of the hospital.
  • Oversee facility management services including housekeeping, maintenance, security, transport, waste management, and utility services.
  • Ensure a safe, clean, and patient-friendly environment throughout the hospital premises.
  • Coordinate with clinical and non-clinical departments to facilitate efficient patient care and service delivery.
  • Handle patient complaints, grievances, disputes, and service-related concerns in a professional and timely manner.
  • Act as a focal point for conflict resolution involving patients, attendants, visitors, and hospital staff.
  • Manage crowd control and visitor movement within the hospital to maintain order and patient comfort.
  • Coordinate with security teams to address security incidents, emergency situations, unauthorized access, and public disturbances.
  • Investigate administrative, patient service, and security-related incidents and prepare detailed reports with corrective action plans.
  • Ensure effective implementation of hospital policies, SOPs, and regulatory requirements.
  • Support Quality Assurance (QA) and Quality Control (QC) initiatives across administrative and support service functions.
  • Conduct regular inspections, audits, and compliance reviews to ensure adherence to quality standards and accreditation requirements.
  • Monitor patient satisfaction indicators and implement service improvement initiatives.
  • Develop and implement corrective and preventive actions based on audit findings, complaints, and operational observations.
  • Manage vendor relationships, service contracts, and procurement of administrative supplies and services.
  • Oversee staff deployment and performance of administrative support functions.
  • Coordinate emergency response activities including fire incidents, medical emergencies, evacuation procedures, and disaster management.
  • Prepare operational reports, incident reports, compliance documentation, and management presentations.
  • Identify opportunities for process improvement, cost optimization, and enhanced service quality.

Requirements

  • Bachelor's degree in Business Administration, Healthcare Management, Hospital Administration, or a related field.
  • MBA, MHA, or equivalent qualification will be preferred.
  • 4–6 years of relevant experience in hospital administration, healthcare operations, facility management, or healthcare quality management.
  • Strong understanding of hospital operations, patient relations, quality management systems, and regulatory compliance.
  • Experience in handling patient complaints, conflict resolution, and security-related matters.
  • Knowledge of QA/QC processes, audits, accreditation standards, and healthcare compliance requirements.
  • Excellent communication, leadership, interpersonal, and problem-solving skills.
  • Ability to remain calm and make effective decisions in high-pressure situations.
  • Proficiency in MS Office and report writing.

Preferred Qualifications

  • Experience working in a JCI, ISO-certified, or accredited healthcare facility.
  • Certifications in Hospital Administration, Quality Management, Healthcare Operations, or Safety Management will be an added advantage.

Pay: Rs60,000.00 - Rs90,000.00 per month
