Assistant Manager – Assets & Payments

What you'll do:


To oversee the management of assets and payment processes within the FM function, ensuring accuracy, compliance, and efficiency in handling company-owned assets and related financial transactions. The role will be responsible for monitoring asset lifecycle, coordinating with vendors and internal stakeholders, and ensuring timely settlement of payments.


Asset Management:


  • Maintain an up-to-date asset register for all FM-related equipment and infrastructure.
  • Track asset lifecycle (procurement, allocation, utilization, maintenance, disposal).
  • Conduct periodic asset audits and reconciliations.
  • Ensure asset tagging, proper documentation, and compliance with company policies.
  • Support budgeting and forecasting for asset-related expenses.


Payments & Financial Processes:


  • Oversee vendor invoices and ensure timely processing of payments.
  • Coordinate with finance and procurement teams to validate bills against contracts, POs, and services delivered.
  • Monitor advance payments, retentions, and reconciliation of vendor accounts.
  • Maintain records of AMC (Annual Maintenance Contract) and service provider payments.
  • Prepare monthly reports on outstanding payments, accruals, and expense tracking.


Compliance & Reporting:


  • Ensure all asset and payment processes adhere to company policies, contractual obligations, and authority requirements.
  • Provide regular MIS reports to management on asset status, payment schedules, and variances.
  • Support internal and external audits with necessary documentation.


What you'll need:


  • Bachelor’s Degree in Finance, Business Administration, Engineering, or related field.
  • 4–6 years of experience in Facilities Management, Asset Management, or Finance/Payments role.
  • Strong knowledge of asset lifecycle management and vendor payment processes.
  • Proficiency in MS Excel, ERP systems (SAP/Oracle), and asset management tools.
  • Strong analytical, organizational, and negotiation skills.
  • Excellent communication and stakeholder management abilities.
