Assistant Manager, Document Control

  • Establish and manage centralized physical and electronic document archives, ensuring secure storage and efficient retrieval.
  • Develop, implement, and enforce corporate document control policies, procedures, standards, and naming/coding conventions.
  • Ensure accurate document classification, indexing, version control, retention, and disposal across all departments.
  • Lead the implementation, administration, and continuous improvement of Document Management Systems (DMS).
  • Design and optimize document workflows, metadata standards, and formatting consistency.
  • Control document access rights, confidentiality levels, and user permissions in line with governance requirements.
  • Ensure compliance with internal policies, regulatory requirements, and audit standards through periodic reviews and audits.
  • Act as the central point of contact for document control matters and coordinate with document owners and stakeholders.
  • Train and support users on document control procedures, DMS usage, and best practices.
  • Lead continuous improvement initiatives, develop KPIs, and supervise document control staff and service providers.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, MIS, Library Science, Commerce, or Law (English).
  • Minimum 12 years of experience in document control or records management, including 5 years in a managerial role.
  • Strong expertise in document lifecycle management, classification, version control, and retention.
  • Hands-on experience with physical and electronic archives and at least one Document Management System (DMS).
  • Proficiency in Microsoft Office and SharePoint / Microsoft 365 (Advanced Excel preferred).
  • Excellent Arabic and English communication skills, with strong leadership, governance awareness, and attention to detail.
