Position Summary
The Assistant Property Manager supports the daily operations of a 122-unit senior affordable housing community (Tax Credit and other Federal program restrictions). This role is responsible for maintaining accurate financial records, assisting with leasing and marketing efforts, ensuring affordable housing program compliance, and fostering positive resident relations.
Key duties include processing vendor payments and resident rental payments, posting and verifying accounting data, managing invoices and payables, handling move-ins and move-outs, processing maintenance work orders, and assisting with compliance reports (Tax Credit or HCDLA).
We are seeking a motivated and organized individual with at least one year of customer service experience, strong communication skills, and the ability to multi-task effectively.

Onsite schedule: Monday–Friday, 8:00 a.m. – 5:00 p.m. (must be available for occasional resident or building emergencies).
What you’ll do:
Assistant Property Manager
- Greet and qualify prospects, utilizing guest cards and established criteria.
- Record all prospect interactions (calls and visits) accurately and promptly.
- Maintain and file guest cards per company procedures.
- Demonstrate community and apartment features, aligning them with client needs to close leases.
- Process rental applications, including credit and rental history checks, and submit for approval.
- Collect deposits and required documents in compliance with Fair Housing laws.
- Prepare apartments for scheduled move-ins and ensure all paperwork is signed prior to occupancy.
- Follow up with prospects who did not lease and refer to sister properties when applicable.
- Manage lease renewals and monitor resident retention efforts.
- Assist with marketing initiatives and evaluate advertising effectiveness.
- Distribute company and community notices professionally and timely.
- Post rent payments, issue receipts, and prepare bank deposits.
- Maintain accurate accounting records using property management software.
- Verify invoices, code expenses correctly, and ensure timely vendor payments.
- Resolve vendor and payment discrepancies by accessing financial data.
- Support Property Manager with financial reports, lease administration, and compliance documentation.
- Assist in maintaining affordable housing compliance (Tax Credit and other programs).
- Provide exceptional customer service by addressing resident inquiries, concerns, and maintenance requests promptly.
- Generate and track service requests, ensuring resident satisfaction and timely completion.
- Communicate effectively with the Property Manager and Maintenance Team.
- Help maintain community cleanliness, curb appeal, and safety standards.
- Assist in planning and hosting resident events and community activities.
- Enforce community policies and promote resident engagement initiatives.
- Participate in marketing activities including placing signage, distributing materials, and conducting market surveys.
- Ensure adherence to all company, local, state, and federal regulations, including safety procedures.
- Review and respond to all emails within 24 hours.
- Performs other related duties as assigned.
- Carries out additional responsibilities as needed to support department and company objective

- Comply with expectations as demonstrated in the employee handbook.
- Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem.
Preferred Experience/ Qualifications:
- Tax Credit experience preferred
- Yardi Voyager experience preferred
- Bi-Lingual (Preferred Cantonese and/or Mandarin)
- Yardi CheckScan experience preferred
- Yardi PayScan experience preferred
- TCAC Files -MI/AR/IR experience preferred
- High School Diploma or equivalent required; some college preferred.
- One year apartment property, leasing experience
- Previous clerical or customer service experience is preferred.
- Must possess strong attention to detail and sales ability.
- National Apartment Leasing Professional (NALP) preferred.
- Fair Housing Certification, willingness to obtain prior to interacting with prospective residents.
- OSHA laws and regulations, willingness to obtain within six months.
- Demonstrate an ability to support and contribute to community team.
- Demonstrate strong oral and written communication skills int he English language.
- Competence in operation of telephone, business calculator, copy machine, facsimile, personal computer/keyboard, Microsoft Office including Word, Excel and MS Outlook and community software.
- Must possess a valid Driver’s License, reliable transportation and current auto insurance coverage as this position may require some driving for company business.
