Assistant Medical Records Director

Primarily responsible for assisting the Medical Records Director in the daily functions of the Medical Records Department. Review, complete and close deceased/discharged medical records. Maintain and update medical records policies and procedures according to current state and federal regulations. Provide clerical support as needed to the Medical Records Director.

ESSENTIAL REQUIREMENTS

  • Must have a high school diploma or equivalent and accredited records technician, or specialized course education from an accredited college or university and/or at least four (4) years prior direct work related experience, and/or a combination of the above.
  • Must be computer literate and possess the ability to work in a windows environment and with various payroll systems.
  • Organizational skills, able to follow direction
  • Must possess an aptitude for problem solving and have excellent communication skills.
  • Employment is contingent on successful completion of a pre-employment screenings
  • Employment is contingent on completion of a criminal background check and Medicaid Exclusion Screening, both indicating negative results.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain an organized medical records system, which is readily accessible and systematically organized to facilitate retrieving and compiling information.
  • Review and complete medical records of deceased and discharged residents for completeness and proper order in a timely manner.
  • Must have a working knowledge of medical terminology, ICD- coding, CPT coding, and HCPCS coding.
  • Must maintain current knowledge of state and federal long-term care regulations pertaining to medical records.
  • Must have an understanding of the MDS, Medical Assistance, Medicare and Social Security programs
  • Comply with Health Insurance Portability and Accountability Act (HIPAA) regulations.
  • Must provide backup coverage for the Medical Records Coordinator, when necessary.
  • Must complete and keep records of SNF letters for the RNAC Manager.
  • Must retrieve death certificates when residents expire outside of the facility.
  • Must copy any necessary records for appeals, court cases, POA requests, Medical Records Request by other parties – after approval from Director, etc.
  • Must verify and email MA103’s to the Department of Public Welfare.
  • Must attend assigned meetings as required.
  • Must coordinate and gather necessary records for reviewers, auditors, etc.
  • Prepare a monthly and yearly summary report of Quality Assurance audits.
  • Assist in archiving for the Business/Medical Records office.
  • Must scan all necessary documents as required.
  • Perform other reasonable duties as assigned by supervisor.

ESSENTIAL PHYSICAL AND MENTAL JOB REQUIREMENTS

Must be proficient in reading and writing and understand the spoken and written word. Must be able to apply good sound nursing judgement while applying the Nurse Practice Act. Must have some computer skills. Must be able to hear with corrective or adaptive devices and see adequately with corrective eyewear. Must have simple computational skills such as addition, subtractions, multiplication, division and percentages. Must be able to stand for long periods of time, bend at knees and waist, push and pull, turn and lift a minimum of 50lbs
