The Assistant Office Manager is a key leadership-track role responsible for supporting the daily financial and administrative operations of a high-volume franchise dealership. This position serves as the right hand to the Office Manager, ensuring that accounting functions, deal processing, and compliance standards are met with precision.

Key Responsibilities
- Accounting Support: Assist in managing accounts payable, accounts receivable, and general ledger maintenance.
- Deal Processing: Ensure the timely and accurate flow of vehicle contracts, funding, and title work.
- Month-End Procedures: Support the Office Manager in reconciling schedules and preparing financial statements for month-end closing.
- Compliance & Audit: Assist in maintaining strict adherence to OEM policies, state and federal regulations, and internal dealership controls.
- Staff Mentorship: Provide guidance and training to the administrative and accounting team to ensure operational efficiency.
- Cross-Departmental Liaison: Work closely with Sales, Service, and Parts departments to resolve administrative bottlenecks and improve workflow.
- Reporting: Help prepare and review daily doc tracking, CIT (Contracts in Transit) reports, and incentive submissions.
Qualifications & Skills
- Dealership Experience Required: Prior experience in a franchise dealership business office or accounting department is essential.
- Systems Expertise: Proficiency in major Dealership Management Systems (e.g., CDK, Dealertrack, or Reynolds & Reynolds) is highly preferred.
- Technical Knowledge: A solid understanding of automotive-specific accounting, including titles, registrations, and service/parts reconciliations.
- Detail Oriented: Exceptional accuracy in data entry and financial reporting.
- Professionalism: High level of confidentiality and the ability to maintain a professional demeanor in a fast-paced environment.
Education & Experience
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting or Finance is a plus.
- Minimum of 2–4 years of experience in a franchise automotive dealership office.
