Assistant Office Manager (Logistics)

Salary: $45,000 per year

Position Summary

We are seeking a highly organized and detail-oriented

Assistant Office Manager to support daily operations within our fast-paced logistics office. This role requires strong communication skills, the ability to multitask effectively, and a customer-focused mindset. The ideal candidate will assist with coordinating deliveries, managing customer interactions, and ensuring smooth administrative and operational workflows.

Key Responsibilities

  • Answer and manage high-volume inbound and outbound phone calls in a professional and friendly manner
  • Provide exceptional customer service by addressing inquiries, resolving issues, and maintaining strong client relationships
  • Assist with scheduling deliveries and coordinating appointment times with customers
  • Support routing and dispatching of trucks to ensure efficient and timely deliveries
  • Maintain accurate records and update systems with shipment, delivery, and customer information
  • Utilize Microsoft Office (Excel, Outlook, Word) for reporting, communication, and data tracking
  • Assist in monitoring daily operations and ensuring all tasks are completed on schedule
  • Communicate effectively with drivers, warehouse staff, and customers to ensure seamless operations
  • Identify and escalate operational issues when necessary
  • Perform general administrative duties to support the office and management team

Qualifications

  • Previous experience in a logistics, transportation, or administrative role preferred
  • Strong phone and customer service skills
  • Ability to multitask and work in a fast-paced environment
  • Proficient in Microsoft Office (especially Excel and Outlook)
  • Experience with routing, dispatching, or scheduling is a plus
  • Excellent attention to detail and organizational skills
  • Strong communication and problem-solving abilities
  • Friendly, professional demeanor with a team-oriented mindset
