Job Summary

The Assistant Operations will provide administrative, secretarial, and operational support to ensure smooth day-to-day functioning of the department. The role involves managing documentation, coordinating with internal teams, scheduling tasks, and assisting the Operations Manager in executing operational activities.

Key Responsibilities1. Administrative & Secretarial Support

  • Manage daily administrative tasks including filing, documentation, and correspondence.
  • Draft, format, and prepare official letters, reports, and meeting minutes.
  • Handle incoming calls, emails, and inquiries professionally.
  • Maintain calendars, appointments, and schedule meetings for the Operations Manager.

2. Operational Assistance

  • Assist in coordinating operational activities with different departments.
  • Support in preparation of daily task updates, operational reports, and follow-ups.
  • Ensure timely communication of updates, issues, and operational delays to the relevant teams.
  • Maintain records, databases, and logs as required by the operations team.

3. Coordination & Communication

  • Serve as a point of contact between the Operations department and other teams.
  • Follow up on pending tasks, deadlines, and operational requirements.
  • Coordinate interdepartmental communication to ensure workflow efficiency.

4. Document & Data Management

  • Maintain organized digital and physical documentation for easy retrieval.
  • Assist in preparing operational presentations, summaries, and reports.
  • Ensure confidentiality and secure handling of all internal documents.

5. Support to Operations Manager

  • Assist the manager in planning, monitoring, and executing operational tasks.
  • Provide reminders, updates, and support for day-to-day management activities.
  • Conduct basic research and gather information required for operational decisions.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 2–3 years of experience in a secretarial, administrative, or operations support role.
  • Strong communication and coordination skills.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Excellent organizational and time management abilities.
  • Ability to multitask and work under minimal supervision.
  • Professional behavior, confidentiality, and positive attitude.
