What does an Assistant Practice Manager do?

Under the direction of the leadership this position is responsible for supervising one or more areas of staff within the practice. Oversees the daily operations and outcomes of the practice staff by aligning team members with NKC Health guidelines and ensuring standard procedures and operations are executed efficiently.

What does a typical day on the job look like?

  • Monitors clinic staff performance levels to ensure staff appointments are scheduled efficiently to meet provider and patient expectations while maximizing volume. Establishes adequate staff to ensure timely patient visits. Plans, organizes and supervises workflow to ensure maximum physician scheduling and monitors productivity to ensure standards are met.
  • Ensures proper maintenance and functioning of office equipment; maintains appropriate inventory of supplies and equipment while minimizing office expenses and operating within the approved budget.
  • Participates in talent life cycle management, including recruiting, hiring, onboarding, orientation, mentoring, development, engagement, retention, performance management and time keeping. Produces and maintains work schedule; authorizes time off requests.
  • Establishes and maintains open and effective communication with all staff members and providers. Ensures providers are engaged with decisions and changes that impact office; helps providers meet quality and productivity measures.
  • Coordinates clinic operations and activities to ensure efficient and high-quality service is delivered within all areas of the clinic. Maintains a safe patient and work environment; works with patients to resolve concerns, billing issues, service issues. Participates in and initiates process improvements.

What are the requirements for the job?

  • High school diploma or GED; bachelor’s in healthcare administration, Business or other related field preferred
  • Minimum 3 years’ experience in medical office setting. Supervisory or leadership experience preferred.
  • Clinical background preferred; effective problem-solving skills.
  • Excellent interpersonal and verbal and written communication skills, with a strong service mentality
