The Assistant Project Manager is responsible for team coordination, project communication, follow-up, minuting & documentation, project monitoring, project reporting, contractual review & participation in procurement, and managing small projects independently, they should be able to participate across all Project Management verticals as and when required under guidance.

Expectations and responsibilities related to your role

1. PROJECT MANAGEMENT

  • Communicate with stakeholders regarding project needs and goals.
  • Contribute to the planning and development of projects.
  • Support the coordination and management of projects.
  • Research information as required.
  • Perform administrative tasks such as preparing invoices, estimates, scheduling meetings, etc.
  • Keep track of and report on project progress.
  • Complete any tasks assigned by the Project Manager in an efficient and timely manner.

2. TECHNICAL AND QA/QC

  • Project Budget Planning (under guidance)
  • Project Cost & Resource Monitoring - maintaining the accuracy of project plans (under guidance)
  • Sub-Consultant Procurement
  • Ability to proofread, review & draft contracts.
  • Good knowledge of Local Authority Regulations and processes.
  • Interfacing and liaising with authorities’ stakeholders.
  • Sub-consultant coordination, tracking progress.
  • Meeting Minutes & Activity Tracking
  • Meeting Setups (internally and externally)
  • Uses the company file naming and information filing standards and follows quality standards in overall work.

Education and Training

· Bachelor’s degree in architecture

· Software skills – MS Project; Knowledge of MS Office & Adobe InDesign is mandatory.

· Excellent command of written and spoken English

· Member of UAE Society Engineers & AIA (preferred) and PMI (highly regarded). Registration with the home country's professional body is highly regarded.

· Excellent communication skills

· Highly organized and able to multitask.

· Strong attention to detail and problem-solving skills.

· Able to work independently and as part of a team.

Experience

· Previous experience in an office environment working under the Lead Architect or Project Manager

· Understand AIA/RIBA stages and deliverables.

· Proficiency in data analysis tools such as Microsoft Excel.

· Proficiency in creating project schedules using software tools, such as Microsoft Project or Primavera P6.

· Ability to create project reports and presentations using software like Microsoft PowerPoint.

· Good knowledge of Adobe InDesign presentation skills

· Flair in graphics formatting

· Strong skills in Information diagrams/data diagrams/infographics

· Early or basic management experience

· Experience in multiple design stages under the team leader/supervisor

· 5 years of Experience minimum
