Assistant Project Manager (Female)

Position Summary

The Assistant Project Manager (Female) is responsible for supporting the planning, coordination, execution, and reporting of AI automation, digital product, web development, and client delivery projects within Duha Nashrah AI. The role ensures that timelines, task ownership, interdepartmental coordination, and delivery discipline are maintained across internal teams and external stakeholders. The position supports project governance, follow-up control, documentation accuracy, and operational continuity.

Reports to: Project Manager / Operations Manager / Director
Coordinates with: AI Automation, Development, UI/UX, SEO, Content, QA, Sales, Client Success, and relevant external vendors

Key Responsibilities

1. Project Planning & Execution Support

  • Assist in preparing project plans, work breakdown structures, timelines, and action trackers.
  • Support project kickoff, task assignment, resource coordination, and milestone monitoring.
  • Follow up with teams to ensure progress is aligned with agreed timelines and deliverables.
  • Maintain visibility of active, pending, and delayed tasks across all assigned projects.

2. Coordination & Communication Control

  • Act as the coordination link between management, delivery teams, and commercial functions.
  • Ensure all project communication is routed through official channels and properly documented.
  • Prepare meeting agendas, minutes, action items, and follow-up reports.
  • Escalate delivery risks, bottlenecks, and missed deadlines in a timely and structured manner.

3. Documentation & Reporting

  • Maintain updated records of project scope, revisions, approvals, dependencies, and status reports.
  • Prepare daily, weekly, and monthly progress summaries for management review.
  • Ensure version control of project documents, scope files, and internal trackers.
  • Support management reporting with clear documentation of progress, risks, and accountability gaps.

4. Client Delivery Support

  • Coordinate internal execution against client requirements and approved scope.
  • Track open issues, change requests, pending approvals, and delivery commitments.
  • Assist in ensuring that project outputs are aligned with brand, commercial, and technical expectations.
  • Support professional handling of client follow-ups and internal closure of client action points.

5. Process Discipline & Escalation Management

  • Ensure project work follows hierarchy-based communication and escalation discipline.
  • Highlight non-compliance, repeated delays, documentation gaps, or coordination failures.
  • Support implementation of project SOPs, trackers, and reporting formats.
  • Maintain task accountability and ensure unresolved blockers are escalated appropriately.

Qualification & Experience

  • Bachelor’s degree in Business Administration, Project Management, IT, Software Engineering, or related field
  • 1–3 years of experience in project coordination, operations coordination, or assistant project management

Experience in software, web, AI, BPO-tech, or digital agency environments preferred.
