Assistant Service Coordinator

DDP Roofing Services, Inc. is seeking a highly organized, customer-focused Assistant Service Coordinator to join our growing team. Under the supervision of the Service Manager and Service Support Manager, this position plays a key role in supporting the Service Department by coordinating service calls, dispatching technicians, maintaining communication with customers and vendors, and ensuring smooth day-to-day operations.

The ideal candidate is professional, detail-oriented, dependable, and thrives in a fast-paced environment while delivering excellent customer service.

Responsibilities

  • Answer and respond promptly to customer phone calls and emails with professionalism and urgency
  • Schedule and dispatch Service Technicians to customer work orders
  • Maintain accurate service department documentation including time records, job logs, reports, and customer communications
  • Support after-hours response processes and assist technicians and employees as needed
  • Communicate clearly and professionally with customers, employees, vendors, and management
  • Maintain positive customer relationships and uphold DDP Roofing’s reputation for quality service
  • Assist with processing service call documentation to support payroll and accounting functions
  • Ensure compliance with company policies, procedures, and service department standards
  • Coordinate with administrative departments including Accounting and Human Resources
  • Help identify and resolve customer service or operational issues in a timely manner

Qualifications

  • Strong customer service and communication skills
  • Excellent organizational and multitasking abilities
  • Ability to work independently and prioritize tasks efficiently
  • Experience with scheduling, dispatching, or service coordination preferred
  • Proficient with Microsoft Office and general computer systems
  • Strong attention to detail and follow-through
  • Ability to remain professional and calm in a fast-paced environment

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to communicate effectively by phone and in person
  • Must be able to occasionally lift and carry office materials up to 15–20 pounds
  • Ability to perform repetitive tasks such as typing, filing, and data entry
  • Ability to move throughout the office as needed during the workday
  • Must be able to maintain focus and productivity in a fast-paced office environment
