Job Function

The Assistant Storekeeper supports the efficient operation of the university’s store by assisting in the receipt, storage, issuance, and record-keeping of goods, materials, and equipment. The role ensures proper stock handling, accurate inventory control, and compliance with university policies and procedures.

Responsibilities

  • Receiving & Inspection
  • Assist in receiving goods, materials, and equipment delivered to the store.
  • Check items against delivery notes, purchase orders, and invoices to ensure accuracy in quantity, quality, and specifications.
  • Report any discrepancies or damages to the Storekeeper for further action.


  • Storage & Organization
  • Arrange and store items in designated storage locations in an orderly and accessible manner.
  • Ensure proper labeling, stacking, and segregation of goods to prevent damage or deterioration.
  • Maintain cleanliness and safety within the storage area.


  • Issuing & Dispatch
  • Assist in issuing materials and equipment to university departments upon approved requests.
  • Record all items issued in the ERP system.
  • Prepare and pack items for delivery to designated locations on campus.


  • Inventory Control
  • Support the Storekeeper in conducting periodic stock counts and reconciliations.
  • Monitor stock levels and inform the Storekeeper when reordering is required.
  • Ensure accurate updating of inventory records after each transaction.


  • Documentation & Record-Keeping
  • Maintain proper documentation of all incoming and outgoing goods.
  • File delivery notes, requisitions, and other store-related documents systematically.
  • Assist in updating the computerized inventory management system.


  • Other Responsibilities
  • Perform additional duties as assigned by the Director.

Experience

Practical experience is preferable in closely related field

Skills

  • Integrity and reliability in handling goods and records.
  • Teamwork and cooperation with other departments.
  • Time management and prioritization skills.
  • Willingness to work flexible hours when required.

Qualification

Diploma in Storekeeping, Supply Chain, or related field.
