Assistant to Family Office/Business C-Level members

We are seeking a highly organized, detail-oriented, and discreet individual to join our team as a Family Office Assistant / Office Manager. This pivotal role supports the efficient operation of business owner / family office, providing comprehensive administrative, financial, and operational support. The successful candidate will be a proactive problem-solver with exceptional communication skills and a strong ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Manage and maintain complex calendars, schedule appointments, and coordinate meetings for family members and executives.
  • Handle all aspects of office administration, including ordering supplies, managing vendor relationships, and ensuring a tidy and professional office environment.
  • Process incoming and outgoing correspondence, including mail, emails, and phone calls, ensuring timely and appropriate responses.
  • Assist with financial record-keeping, expense reporting, invoice processing, and coordination with external accounting and tax professionals.
  • Organize and maintain physical and electronic filing systems, ensuring accuracy and confidentiality of sensitive documents.
  • Coordinate travel arrangements, including flights, accommodation, and ground transportation, for family members and staff.
  • Oversee household management tasks as needed, including liaising with household staff and managing property-related vendors.
  • Prepare presentations, reports, and other documents as required, ensuring high-quality and error-free output.
  • Act as a primary point of contact for internal and external stakeholders, maintaining professional and courteous communication.
  • Assist with special projects and research initiatives as assigned by family members or senior staff.
  • Ensure compliance with all relevant policies and procedures, maintaining the highest standards of confidentiality and ethical conduct.

Required Candidate :
Any competent professional willingness to work managing office administration for Business Owners.
A sound knowledge /background with accounting know is a plus for the role .Age criteria is not manadatory but should be competitive enough to handle full time on-site based role.

Should be well organized, detail oriented and tactful in handling multiple task in a phase of time .

Technical know how of Data management,information tracking, organized with task on the desk, documentation expert.
