Role overview
The Assistant to the General Manager provides direct executive support to the General Manager and acts as a key coordinator across operations, administration and business projects. This is a fast-paced role requiring excellent communication, strong execution, discretion, and the ability to manage multiple priorities while representing senior management with internal and external stakeholders.
Key responsibilities
- Provide day-to-day executive assistance to the General Manager (calendar management, travel planning, meeting coordination).
- Prepare meeting agendas, take minutes and follow up on action items to ensure timely closure.
- Support external communications, client reception and business liaison activities.
- Draft, proofread and format letters, reports, presentations and other management materials.
- Consolidate data, prepare summaries and assist with reporting to senior management.
- Coordinate travel plans, transport arrangements and logistics for senior management.
- Assist in coordinating and following up on selected business projects and initiatives.
- Handle confidential information with discretion and professionalism.
- Carry out additional tasks and ad-hoc duties assigned by the General Manager.
Required qualifications & skills
- Proven experience as an Executive Assistant, Management Assistant or similar role supporting senior management (preferred).
- Fluent in Chinese and English (verbal & written). Arabic is a strong advantage.
- Strong organisational skills, attention to detail, high execution capability and ability to prioritise tasks.
- Excellent written and verbal communication skills; able to draft professional correspondence and reports.
- Comfortable working in a fast-paced environment with multiple stakeholders.
- Familiarity with UAE business environment and local protocols is preferred.
- Willingness to travel and work flexible hours when needed.
Preferred / Nice-to-have
- Experience in tobacco manufacturing, FMCG or manufacturing industries.
- Valid UAE driving licence and ability to support local errands/transport coordination.
- Previous exposure to project coordination or basic business analysis.
- Base salary: AED 10,000–20,000 / month (depending on experience).
- Incentives: Performance bonus (subject to role & results).
