Assistant to the Director of Discipleship Ministry

St. Joseph parish in Howell is now accepting resumes for a full time Assistant to the Director of Discipleship Ministry.
ACCOUNTABILITY: Reports to Director of Discipleship Ministry
SUPERVISORY RESPONSIBILITY: Over some volunteers
FLSA STATUS: Non-Exempt
HOURS: Full-time (40 hours per week)
GENERAL SUMMARY: This position assists with the ministry of the parish by supporting the various administrative functions of Discipleship Ministry. The incumbent directs these efforts with technical expertise within a framework of shared ministry and Catholic values.
PRINCIPAL DUTIES AND RESPONSIBILITIES
  • Coordinates the First Communion process for young children.
  • Performs secretarial duties for the Director of Discipleship Ministries. Receives and places telephone calls, schedules appointments, types memos, and other types of written communication.
  • Establishes department record-keeping and filing systems. Attends staff meetings and other meetings as requested.
  • Coordinates volunteer programs as needed. Supervise volunteers as needed for office and other parish projects. Recruits, orients, trains, and supports volunteers.
  • Establishes and maintains a comprehensive filing system for participant files and records of Adult Formation programs, First Communion, and Family Faith Formation programs.
  • Research, price, and purchase supplies and resources.
  • May maintain tuition and fee schedules for Faith Formation programs. May develop and update record keeping system on an annual basis to ensure that fees collected are recorded accurately.
  • Coordinates the registration process for new families and students in faith formation programs and sacramental preparation processes, as well as Adult Faith Formation events and studies. Creates online registration and payment forms. Ensures that parents have received and accurately completed all necessary forms.
  • Creates schedules for program and events.
  • Assists in the upkeep of Discipleship Ministry webpages on parish website. May write fresh content and develop visual aids.
  • Process and maintain all Diocesan paperwork for Catechists and volunteers, including VIRTUS, Safety training, Code of Conduct, and catechist training.
  • Process bills and check requests for Discipleship Dept. Assist Director in managing budget.
  • Coordinate with Director of Communications about upcoming Faith Formation events for Bulletin.
  • Provides other assistance as needed. Assist in completing an annual inventory and process purchase orders.
KNOWLEDGE, SKILLS, AND ABILITIES
Education: High school graduate or equivalent.
Experience: Fluent typing using word processor software (Microsoft Word, Google Drive, etc.).
Require: Must be a practicing Catholic, active in a parish. Must be able to maintain confidentiality.
Physical Demands: While performing duties, employee has to sit for long periods of time, use hands in repetitive motion tasks, and answer telephone calls. The position also requires some standing, stooping, and bending while filing. Employee is expected to work onsite, Monday through Friday, with minimal travel.
