Assistant to the Provost

Position Overview
Trinity Episcopal Cathedral, serving as a beacon of faith, worship, and community engagement in the heart of Miami, seeks a highly organized, detail-oriented, and mission-driven professional to serve as Assistant to the Provost.

This part-time position provides essential administrative and operational support to the Provost, clergy, and Cathedral staff. The Assistant to the Provost plays a key role in ensuring the smooth daily functioning of the Cathedral office while embodying hospitality, professionalism, discretion, and a collaborative spirit.

The ideal candidate is proactive, adaptable, technologically competent, and able to manage multiple priorities with grace and efficiency.

Core Responsibilities

Administrative Support to the Provost

  • Manage and maintain the Provost’s calendar, scheduling meetings, events, and appointments with attention to priorities and pastoral sensitivities.
  • Manage correspondence, reports, memos, newsletters, and official communications.
  • Assist with preparation of materials for meetings, Chapter gatherings, fund raising, and special events.
  • Maintain confidential files and records with discretion and accuracy.
  • Track deadlines and follow up on action items on behalf of the Provost.

Clergy and Support Staff

  • Provide assistance and scheduling to clergy and staff for liturgical services, weddings, funerals, baptisms, and special events.
  • Assist with preparation of worship bulletins, service materials, and printed documents incollaboration with clergy and music staff.
  • Coordinate facility use schedules and assist with event logistics
  • Maintain parish database records and membership information.
  • Assist in communication with volunteers and ministry leaders.

Office Management & Operations

  • Serve as first point of contact in the Cathedral office, offering a welcoming and professional presence to parishioners and visitors.
  • Answer phone calls and respond to general email inquiries.
  • Maintain office supplies and coordinate orders as needed.
  • Assist in maintaining organized digital filing systems and cloud storage.
  • Support financial and administrative processes in coordination with Cathedral accounting staff.
  • Help manage facility requests, contracts, and documentation.

Communications & Projects

  • Assist with e-News preparation, website updates, and social media scheduling as needed.
  • Support special initiatives such as capital campaigns, Cathedral celebrations, community partnerships, and major Cathedral events.
  • Help coordinate invitations, printed materials, and donor correspondence.
  • Maintain updated contact lists and communications databases.

Qualifications

  • Associate’s or Bachelor’s degree preferred
  • 2+ years of administrative or executive assistant experience
  • Strong organizational and time-management skills
  • Excellent written and verbal communication abilities
  • High proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and management systems.
  • Experience in church, nonprofit, or mission-based environments preferred
  • Bilingual (English/Spanish) required.

Physical Requirements

  • Ability to work seated at a computer for extended periods.
  • Occasional lifting of light office materials (up to 20 lbs.)

Pay: $25.00 per hour
