Job Summary
The Assistant Manager – Inventory Management is responsible for overseeing hospital inventory operations to ensure uninterrupted clinical and non-clinical supply availability. The role manages procurement coordination, stock control, warehousing standards, compliance requirements, and reporting functions, while supporting operational efficiency, cost control, and regulatory adherence.
The position works closely with clinical departments, finance, supply chain teams, and vendors to maintain optimal stock levels aligned with the hospital’s service delivery model.
Key Responsibilities
1.
Inventory & Supply Chain Operations

Oversee ordering, receipt, and storage of materials, equipment, and medical supplies using ERP and barcoding systems.

Coordinate logistics for purchase orders, stock transfers, tagging, deliveries, and processing.

Ensure all incoming goods are inspected for quantity, quality, specifications, and condition; resolve discrepancies with vendors and internal departments.

Review and expedite backorders to ensure continuity of patient care.

Maintain accurate documentation and filing systems for purchase orders and requisitions.

Inventory Control & Reporting

Monitor inbound and outbound inventory to prevent stock-outs and overstocking.

Ensure minimum three-month stock levels are maintained for Class A items.

Conduct daily, monthly, and annual inventory counts, ensuring reconciliation of physical and system balances.

Review month-end inventory data, identify discrepancies, and report findings to management and the central team.

Track and proactively manage expiring and expired stock, initiating action plans at least six months prior to expiry.

Prepare consolidated inventory reports for management, finance, and other stakeholders.

Warehouse & Distribution Management

Ensure materials are stored according to established standards (service line, size, material category, etc.).

Maintain clean, safe, sanitary, and organized warehouse conditions.

Oversee stock rotation and compliance with safety procedures.

Monitor and respond appropriately to product recall notices.

Support and supervise delivery scheduling, loading, packing, receiving, and distribution activities.

Systems & Compliance

Ensure accurate use and maintenance of ERP systems and hardware to support inventory integrity.

Adhere to hospital policies, regulatory requirements, and accreditation standards including Joint Commission International (JCI) requirements.

Maintain compliance with safety programs and Occupational Safety and Health Management System (OSHMS) standards.

. Leadership & Team Support

Prioritize team responsibilities to ensure completion of operational duties.

Provide coverage for the Team Lead when required.

Participate in departmental meetings, Quality Improvement initiatives, and performance evaluation cycles.

Promote a disciplined culture of continuous improvement and operational excellence.

Maintain effective interdepartmental communication and high customer service standards.
Occupational Health & Safety (OHS)

Comply with OSHMS policies, procedures, and safety standards.

Qualifications & Experience
-
Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or related field.

Minimum 5–7 years of experience in inventory or warehouse management, preferably within a hospital or healthcare setting.

Strong experience with ERP systems and inventory barcoding solutions.

Knowledge of healthcare regulatory and accreditation standards (JCI preferred).

Strong analytical, organizational, and reporting skills.

Demonstrated leadership and team coordination experience.
