Job Description

Job Summary: The role involves managing IT procurement, ensuring budget alignment, maintaining records, resolving discrepancies, and supporting IT finance and management while staying updated on relevant technologies.

Responsibilities:

  • Basic knowledge of accounting and financial principles, programs, trends, and best practices.
  • Basic analytical and quantitative skills.
  • Collaborate with IT finance, department heads, and strategic sourcing to evaluate purchase order quotations, ensuring alignment with the approved IT Annual Operating Plan (AOP).
  • Purchase IT equipment, services, and materials, and expedite the delivery of goods as directed.
  • Maintain accurate and up-to-date IT dashboards related to purchase orders, approvals, and any auditable activities.
  • Obtain quotes from IT suppliers and manage overages to stay within the allotted budget.
  • Work with IT finance and management to reconcile variances and investigate discrepancies.
  • Undertake tasks and small initiatives assigned by IT management.
  • Evaluate supplier bids, tenders, proposals, or quotations of purchase orders and prepare comparative analysis to support evaluation decisions.
  • Identify, investigate, and resolve discrepancies between purchasing, receiving, and accounts payable systems.
  • Maintain accurate and current electronic records related to purchase orders, approvals, and auditable activities.

Qualifications & Skills:

  • Required:
    • Education and Experience: Bachelor's degree or equivalent and relevant formal academic/vocational qualification.
    • Previous experience provides the knowledge, skills, and abilities to perform the job (comparable to 0 to 2 years) or equivalent combination of education, training, and experience.
  • Preferred:
    • Basic understanding of Microsoft Excel: Ability to perform fundamental tasks such as creating spreadsheets and managing data within Excel.
    • Basic knowledge of finance: Expense tracking and management.
    • Basic experience working with one or more ERP platforms: Familiarity with Enterprise Resource Planning (ERP) systems, including tasks such as data entry, report generation, and system navigation
    • Familiarity with ticketing systems such as ServiceNow: Experience using ticketing systems for managing and tracking IT service requests, incidents, and changes.
