We are seeking a detail-oriented and proactive individual to support our financial planning practice. This role involves managing daily administrative tasks, client appointment setting, marketing initiatives, and operational improvements to ensure a seamless client experience.
Core Responsibilities
Daily Administration & CRM Management
- Manage Outlook inbox and calendar, ensuring all client communications and appointments are "set regarded" in Dynamics 365.
- Process post-appointment results and case notes, ensuring CRM files are updated with accurate subject lines and next steps.
- Schedule follow-up phone calls and marketing list assignments based on advisor case notes.
- Proactively monitor advisor backlog on case notes and send reminders for missing data.
Appointment Setting & Client Experience
- Conduct outbound calls for annual reviews and appointment setting, referencing previous notes for context.
- Optimize the advisor's schedule by clustering in-person meetings on specific days (Tues/Thurs) while booking virtual meetings flexibly.
- Maintain accurate birthday records on the calendar and reference NM Connect for upcoming milestones.
Weekly Operations & Marketing
- Update weekly opportunity lists in CRM prior to positive focus meetings.
- Assist in case preparation, including PX, CCV, and IFL reports.
- Participate in tactical meetings to plan marketing and prospecting for the week ahead.
- Submit and track client-facing materials through compliance approval via Marketing Commons.
Qualifications
- Proficiency in Microsoft Outlook and Dynamics 365 (CRM).
- Strong communication skills for professional client outreach.
- Ability to identify process improvements and contribute to strategic business planning.

Pay: $45,000.00 - $52,000.00 per year
