This is a full-time on-site role for an Associate / Sr Associate - Import Operations position at ProV Foods in Mumbai - Andheri.

Role Overview:
Responsible for managing end-to-end import operations for the organisation, ensuring smooth coordination between internal teams, suppliers, transporters, customs, and related authorities. The role involves handling documentation, tracking shipments, ensuring regulatory compliance, and maintaining accuracy across all import-related processes.

Key Responsibilities:1. Import Documentation & Compliance

  • Prepare, verify, and maintain all import documents: Purchase Orders, Commercial Invoices, Packing Lists, AWB/BL, COO, FSSAI/NOC-related papers, and HS code classification.
  • Ensure full compliance with DGFT, Customs, FSSAI, and port regulations.
  • Handle BOE (Bill of Entry) filing and documentation through ICEGATE.

2. Shipment Coordination & Tracking

  • Coordinate with international suppliers, freight forwarders, CHAs, and transporters for timely shipment execution.
  • Track shipments from origin to destination and update internal teams on ETD/ETA, delays, or exceptions.
  • Manage container tracking, de-stuffing schedules, and port clearances.

3. Customs Clearance

  • Liaise with CHA for smooth customs clearance and ensure timely submission of required documents.
  • Review duty calculations, tariff classifications, and exemption notifications if applicable.
  • Monitor clearance status via ICEGATE and maintain digital records.

4. Internal Coordination

  • Work closely with procurement, finance, warehouse, and QC teams for seamless inbound material flow.
  • Share shipment updates, documentation copies, and ensure GRN is completed on time.

5. Payment & Reconciliation

  • Coordinate with finance for duty payments, CHA bills, freight invoices, and vendor payments.
  • Maintain accurate cost sheets with all components: CIF value, duty, freight, port charges, and CHA charges.

6. Record Keeping & Reporting

  • Maintain systematic documentation for audits and compliance.
  • Generate weekly and monthly import MIS, including landed cost analysis, lead times, and clearance timelines.
  • Track container detention/demurrage to minimise additional costs.

Skills & Qualifications:

  • Bachelor’s degree in Supply Chain, Logistics, International Business, or related field.
  • 1–4 years of experience in import operations (FMCG/Food is a plus).
  • Strong knowledge of ICEGATE, customs procedures, HS codes, and import documentation.
  • Proficiency in MS Excel, email communication, and ERP systems.
  • Excellent coordination, problem-solving, and time-management skills.
