Attorney Assistant - Washington, DC (Direct Hire- Full Time, M-F)


IST Management Services is sourcing for a direct hire, full-time, Attorney Assistant position in Washington DC. This position will work full time hours per day in a Law Firm.

The Attorney Assistant performs a variety of legal and administrative tasks, which include providing a high level of customer service and support for the following roles: Partners, Counsel, and Associates while consistently producing an excellent work product.

Hours:
Monday through Friday, 9:00am to 5:30pm (need flexibility to potentially cover earlier shifts when needed)


Compensation:
While the compensation for this position is finally dependent upon the candidate’s experience/qualifications, the approximate compensation for this role will be $35.00 to $36.00 USD per hour.


Responsibilities:
The Attorney Assistant will provide services listed below:

The Attorney Assistant is expected to maintain a general knowledge of business services, practice areas/groups and clients of the firm to ensure extraordinary satisfaction. The Attorney Assistant must also maintain confidentiality regarding extremely sensitive matters and materials related to the firm.


The job description sets forth the core framework of responsibilities as outlined below:


  • Maintains calendars, contact information and other pertinent information as requested within outlook and the firmwide contact database. Answers telephone and accurately records and relays communications.
  • Schedules meetings and processes arrangements for meetings including video conference/audio conferencing, meeting rooms, and catering requests.
  • Coordinates travel arrangements through the in-house Travel Department and prepares fee-earners’ expense reports.
  • Prepares a variety of forms and creates new documents using the established document processing methods and procedures of the firm, creates, edits, spell checks, and proofreads work product to ensure accuracy and completeness.
  • Organizes and maintains administrative and client files; prepare indexes and files for off-site storage. Coordinates and works closely with the Records Department to safeguard the confidential records.
  • Records, reviews, edits, and closes time entries through the web-based time entry program using Firm standards.
  • Manages monthly client billing (paper and electronic billing). Review billing proformas for accuracy and completeness. Performs client matter and timekeeper inquiries, and process narrative edits.
  • Prepares and processes third-party vendor invoices or checks to be drawn and charged to appropriate client/matter numbers.
  • Generate client conflict inquiries, open new matters, and prepare engagement letters.
  • Respond to customer/client requests in a skilled and timely method.
  • Respond to internal client requests effectively and courteously, in person, by telephone and written communication to attorneys and business services professionals.
  • The Attorney Assistant is expected to provide exceptional support in document preparation specific to practice area requests.
  • Prepares annual and/or supplemental audit letter responses, memorandums, correspondence, pleadings, and document binders.
  • Assumes responsibility for preserving the highest level of confidentiality of all firm and client information, records, and files, both within and outside of the firm.
Qualifications:
Other qualifications include:
  • 5+ years of office experience required.
  • Law firm experience preferred.
  • Intermediate knowledge of Microsoft Word (2010).
  • 60 wpm typing speed, excellent grammar, spelling, punctuation, and communication skills.
  • Flexible attitude and the ability to deal well with changing assignments and priorities.
  • Professional appearance and demeanor.
