Audiology Clinic Coordinator

Job Title: Audiology Clinic Coordinator

Status: Non-Exempt, Part-time 12 month

Wage Grade: 720

Reports To : Roseman Center Director

Overview: The Audiology Clinic Coordinator serves as the primary point of contact and administrative anchor for our clinic. This role is responsible for ensuring a seamless patient experience—from initial scheduling to final billing—while managing the complex financial and insurance workflows associated with audiological care, medical procedures, and hearing device technology.

Key Responsibilities:

  • Scheduling client appointments and maintaining clinic calendar
  • Registering new patients and updating client information, including intake forms and insurance details
  • Maintaining billing and reports via an electronic medical record system
  • Preparing and sending bills and invoices to patients for medical procedures and equipment and communicating with clients by phone, email, or written communication
  • Coordinating payment and insurance claims
  • Calculating payments for services like procedures, tests, and devices
  • Assisting with validation and enrollment in insurance reimbursement
  • Making payments and monitoring accounts with equipment vendors
  • Assisting audiologist with establishing price lists for services and preparing billing documents for clients


Requirements

Required Skills & Qualifications

  • Bachelor Degree required, Degree in health-care related field preferred
  • Exceptional ability to prioritize tasks and manage scheduling complexities to maintain optimal clinic flow and minimize patient wait times
  • Ability to execute diverse administrative tasks and ensure the integrity and organization of all clinic documentation and files
  • Excellent verbal and written communication skills
  • Ability to interact professionally with a diverse range of people including clients, families, colleagues, and students

  • Ability to manage time effectively and handle detailed paperwork and data entry

Preferred Qualifications:

  • Proven experience in medical billing within a clinical setting

Also required is the ability to listen, hear, speak, read, climb stairs, bend, stoop, and stand for intermittently long periods of time. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Must be able to use a computer to accomplish a variety of job tasks.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Additional Information:

Pay and Benefits: The budgeted compensation for this position is $15.45 - $16.00/hour based upon education, experience, skills, and abilities.

Hours: This role averages 16 hours per week typically spread across 3 days per week. Candidate will have flexibility to work with their manager to set a consistent schedule to accommodate both organizational needs and the selected candidate's availability. Office hours are M - F, 8am - 4:30pm.
