Automotive Administrative & Vehicle Listing Coordinator

We are a rapidly growing used car trading company specializing in vehicle retail, wholesale, import, and export. As part of our expansion in Sharjah, we are seeking an experienced and detail-oriented Automotive Administrative & Vehicle Listing Coordinator to support showroom operations and online vehicle sales activities.

*Key Responsibilities*

Administrative & Operations Support

* Manage daily showroom administrative tasks and office operations.

* Prepare and maintain vehicle files, customer records, contracts, invoices, and company documentation.

* Coordinate vehicle registration, ownership transfer, export procedures, insurance, and related documentation.

* Liaise with RTA, testing centers, insurance providers, and government authorities when required.

* Support management with operational reports and inventory tracking.

* Coordinate vehicle inspections, deliveries, and customer appointments.

Vehicle Listing & Inventory Management

* Independently create and publish vehicle listings across online platforms.

* Upload vehicle information, specifications, pricing, photos, and descriptions accurately.

* Maintain and update vehicle inventory databases.

* Monitor listing performance and ensure vehicle information remains current.

* Coordinate vehicle photography and content preparation.

* Remove sold vehicles and update inventory status promptly.

Sales Support

* Respond to online customer inquiries and distribute leads to the sales team.

* Assist with quotations, sales documentation, and customer follow-up.

* Support showroom marketing activities and promotional campaigns.

* Maintain accurate records of customer interactions and lead sources.

*Requirements*

Mandatory Qualifications

* Fluent in English (spoken and written).

* Strong computer skills, including Microsoft Excel, Word, Outlook, and Google Workspace.

* Minimum 1–3 years of experience in administration, operations, or inventory management.

* Strong organizational and multitasking abilities.

* Excellent attention to detail and documentation skills.

Preferred Qualifications

* Previous experience in the UAE automotive industry.

* Familiarity with used car dealerships, vehicle trading companies, or automotive marketplaces.

* Experience handling RTA procedures, vehicle registration, ownership transfer, and export documentation.

* Experience managing vehicle listings on automotive platforms such as Dubizzle, YallaMotor, Cars24, CarSwitch, Facebook Marketplace, or similar platforms.

* Ability to independently prepare vehicle descriptions, specifications, and pricing information.

* Basic knowledge of digital marketing and social media content management is an advantage.

* Knowledge of Arabic is a plus.

* UAE driving license preferred.
