Position Summary:
The B2B Coordinator plays a crucial role in managing relationships between a company and its business clients or partners.
He/She manages the end-to-end process of B2B transactions, and ensures seamless communication and collaboration between internal teams and external stakeholders.
Key Responsibilities:
- Develop and maintain strong relationships with business clients or partners, serving as their main point of contact for all inquiries, requests, and issues.
- Understand client needs, preferences, and objectives to provide personalized support and ensure high levels of satisfaction.
- Email Etiquette: Convey messages with appropriate politeness and timeliness.
- Respond promptly with an acknowledgment to orders received via email.
- Efficiently address complaints by conducting thorough investigations and resolving them through the relevant managers on the same day or, at the latest, by the next day to ensure timely closure of the complaint.
- Compile the complaints tracking data and share it with management on a daily and monthly basis.
- Review, Print, distribute and summarize all B2B Orders/Inter Company without any discrepancy and follow up in a timely manner.
- Liaise with internal departments such as back of house kitchen, operations, and logistics to ensure accurate and timely order processing and delivery.
- Menu Knowledge: proactively monitor and refresh the order sheet.
- If encountering any issues with the system or internet, promptly communicate with both the IT department and relevant managers, including those overseeing concerns in the kitchen department.
- Pay close attention to details when opening new branches or businesses, introducing new items, delisting items and managing various tasks such as creating new profiles, adjusting menus and prices, organizing order sheets, designating contact persons, verifying locations, setting working hours, and establishing delivery timings. Additionally, ensure smooth operations by releasing orders in the kitchen and maintaining communication with management, the kitchen team, dispatchers, and the logistics department.
- Anticipate and confirm allocations for upcoming new business ventures, special events, and product launches in advance. Facilitate seamless operations by promptly releasing orders in the kitchen and maintaining open lines of communication with management, the kitchen team, dispatchers, and the logistics department.
- Assisting with tracking orders within the kitchen for improved traceability.
- Invoice Management: Assume full responsibility for printing invoices, arranging them by branches and delivery lines, and ensuring prompt filing upon receipt without any exceptions.
- Prepare regular reports (inventory, Statement Of Accounts and daily, weekly and monthly sales reports of B2B) with accuracy.
- Submit kitchen transfer items from inter-outlet to cost control and production manager.
Requirements:
- Bachelor's degree in Hotel management/ business administration/ Commerce, marketing, or a related field.
- Proven experience in B2B sales, Food and beverage experience, account management, Logistics store keeper or customer service roles.
- Strong communication and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office.
- Analytical mindset with the ability to interpret data and generate actionable insights.
- Customer-centric approach with a focus on delivering exceptional service and building long-term relationships.
