The Bariatric Resource Coordinator provides advanced support to coordinate surgical resources necessary for the effective operation and execution of the bariatric surgery program. The incumbent must demonstrate a high degree of knowledge and competence in our electronic health record, scheduling system, insurance programs, surgical pathway, and clinical workflow.
Essential Duties and Responsibilities
These duties and responsibilities described below represent the general tasks performed on a daily basis. Any other duties as needed to drive to the vision fulfill the mission and abide by the values of the organization.
- Monitors Referrals from physicians and completion of the Online Information Seminar and Insurance verification Process in the Bariatric program’s patient tracking software system.
- Schedules Consults with those who have completed the Online information seminar and have insurance coverage and tracks them in the Bariatric program’s patient tracking software system.
- Compiles initial packet of information on Bariatric weight loss program. Reviews with patient the 3-to-6-month Bariatric program, participation contract and program policies concerning Smoking, Alcohol Use, and No- show/ dismissal policies. Uploads signed policies and participation contract into the Practice’s EMR.
- Reviews with the patient, Pathway checklist that they have already customized with patient’s insurance requirement for number of nutrition education sessions and send the required referral to the provider chosen by the patients. Also assist patient in scheduling the initial nutrition session. Tracks receipt of nutrition education session notes and places in Practice’s EMR and in the Bariatric program’s patient tracking software system.
- Discussed with surgeon any additional testing and clearances required. Send referrals and / or clearance forms to the appropriate providers. Tracks receipt of results and clearances in the Practice’s EMR and in the Bariatric program’s patient tracking software system.
- Provide instructions on the timeline to complete the required testing and clearances. Answers general questions about these tests.
- Informs Patient of the required support group meetings and tracks the attendance in the Practice EMR and in the Bariatric program’s patient tracking software system.
- Assist at support groups when necessary.
- Understands the MBSAQIP Standards for Accreditation as it applies to the patient Pathway.
- Ensures the patient is scheduled for all items necessary to meet the MBSAQIP Standards for Accreditation. Updates patient and Bariatric team of completion of items before surgery is scheduled.
- Ensures Patient is updated on progress through the steps program. Send reminders as needed to keep the patient compliant with program pathway and insurance requirements.
- Schedules all pre-op classes, providers visits and PSAT.
- Schedules all post-op follow up appointments including 1 and 3 month nutrition follow up appointments. Makes sure the MBSAQIP time periods for follow up are satisfied for Accreditation compliance.
- Makes Bariatric team aware of any non-compliance or policy adherence issues by patients.
- Coordinate OR time/date with equipment rep, if needed
- Represents CRH and supports the ideals and principles of their department, the Practice, the Hospital and the Center.
- Demonstrate flexibility of schedule to accommodate patient care and professional development.
Education and Experience
- High School Diploma/G.E.D. - required
- 2-3 years office experience or one year of related experience in a medical practice - preferred
- Experience using an electronic health record and Microsoft Office a plus.
- Excellent customer service skills.
- Ability to multi-task in a high patient volume unit.
- Ability to learn and utilize resources.
- Ability to review information and draw appropriate conclusions.
- Good judgement and ability to problem solve; escalate issues as needed.
