Position Overview:
The Leave Specialist is responsible for managing employee leave requests and ensuring compliance with company policies and government regulations. This position reviews various types of leaves, such as FMLA, Personal Leave, and ADA. This role will also be located at the front reception desk and will be responsible for answering the phone, providing postage for outgoing mail/packages, and providing directions to those who enter the building when necessary.
Key Responsibilities:
Coordinate support for all leave of absence cases, light duty, work restrictions, ADA requests and workers’ compensation claims.
Effectively manage cases, including general administration, comprehensive case management, and program compliance with the Family and Medical Leave Act (FMLA) and related employment laws.
Serve as the subject matter expert for leave and workers’ compensation programs.
Interpreting and administering leave policies in accordance with applicable federal and state employment laws (FMLA, ADA, etc.).
Ensure compliance with workers’ compensation laws.
Conduct investigations into reported workers’ compensation claims.
Independently approve or deny leave cases based on relevant medical information.
Organize and monitor medical information while adhering to HIPAA and Employee Privacy guidelines.
Training and Education:
o Provide training or guidance to employees and managers on leave policies, workers’ compensation procedures, and ADA accommodations.
o Assist in developing and updating leave-related policies and procedures to reflect current laws and regulations in accordance with state and federal laws in all locations we operate in.
Metrics and Reporting:
o Track leave trends, workers’ compensation claims, and ADA accommodations to identify patterns or areas for improvement.
o Generate regular reports on leave case statuses and workers’ compensation claims for leadership review.
Collaboration:
o Collaborate with HRBP’s, HR team members, and local leadership to align leave and workers’ compensation practices with overall organizational goals.
o Partner with occupational health providers or medical professionals to ensure appropriate accommodations are made.
Answer the main telephone line in a professional manner, routing calls or messages to appropriate parties.
Provide postage for outgoing mail and packages and sign for incoming mail and packages when necessary.
Audit of benefit enrollments monthly and as needed, working with company benefit broker to ensure accuracy of billing.
Collect, track, and maintain records of company sponsored benefits while CTM’s are on LOA, ensuring premiums are paid timely.
Perform other tasks as assigned within job scope.
Qualifications:
Bachelor’s degree or equivalent experience in HR role
3 or more years’ experience in leave administration, worker’s compensation, or related HR functions.
Certification such as SHRM-CP, PHR, or a related HR certification to demonstrate expertise in leave administration and workers' compensation.
Experience in customer-facing roles to emphasize the candidate’s ability to handle front desk tasks alongside HR responsibilities.
Knowledge of payroll systems and tools for managing leave-related compensation.
Familiarity with compliance monitoring software for workers' compensation and ADA cases.
