ROLE OVERVIEW and PURPOSE

The Benefits Coordinator supports the day-to-day administration of employee benefit programs with a strong focus on delivering a responsive, employee-centered experience while representing the organization’s values of Above & Beyond, Collaboration, Compassion, Integrity, and Professionalism. This role serves as a key point of contact for employee benefit inquiries and provides administrative and operational support for benefit programs, including HRIS data entry and updates, processing of employee benefit changes, and assistance with compliance-related activities.

The Benefits Coordinator partners with the Benefits Analyst, as well as HR, HRIS, and Payroll teams, to support benefit administration, employee communications, and accurate data processing. Success in this role requires strong organizational skills, attention to detail, and a customer-oriented approach, with the ability to support day-to-day benefit processing tasks for 1,500+ benefit-eligible employees across multiple locations throughout Southern California.

RESPONSIBILITIES

  • Processes and updates benefit data within the HRIS system (UKG), ensuring accurate processing of new hires, life events, employee benefit changes, and annual Open Enrollment
  • Assists with the administration and communication of benefit programs including medical, dental, vision, life insurance, disability, FSA/HSA, ancillary benefits, and retirement plans; provides general information regarding enrollment requirements, plan options and design and policy details with all levels of employees
  • Assist, cross train and support the preparation of bi-weekly benefit/payroll files to process benefit deductions
  • Assist, cross train and support carrier invoice reconciliation and invoice processing through Coupa
  • Assists in administration of Qualified Life Events (QLE), National Medical Support Notices (NMSN), COBRA processes, and related benefit processing and documentation support
  • Maintains the benefit designated email inbox and responds to employee questions regarding enrollments, eligibility, and general benefit inquiries; escalates as appropriate
  • Assists in the new hire benefit orientation processes and sends communications to new hires including follow up emails to ensure benefit enrollment completion
  • Organizes and updates benefit documentation, employee records, and filing systems within UKG, SharePoint, and internal servers
  • Assists with the annual Open Enrollment (OE) process including system testing, benefit guides and presentations
  • Assists with ACA reporting support, employee notices, audits, and other compliance-related support activities
  • Communicates with employees on leave regarding benefit payments and tracks payment status
  • Supports HR-wide events and employee benefit communication initiatives

EDUCATION/EXPERIENCE

  • High School Diploma/GED required
  • At least 1 year of benefits administration experience required. Additional experience in HR and/or payroll a plus
  • HRIS experience with UKG preferred

ADDITIONAL QUALIFICATIONS (Knowledge, Skills and Abilities)

  • Excellent verbal and written communication skills, including strong writing and proofreading skills
  • Detail oriented with excellent customer service and interpersonal skills required
  • Proficiency in Microsoft Office, particularly Excel
  • Ability to organize and prioritize responsibilities to meet daily, weekly or program deadlines
  • Ability to work independently and participate as a team member
  • Ability to travel to main NHC site as well as other sites for benefit related needs
  • Ability to work with highly confidential information in a professional and ethical manner

Physical Requirements

  • Ability to lift/carry 10 lbs./weight
  • Ability to stand for long periods of time

COMPLIANCE (Safety & HIPPA)

  • Follows all safety procedures as outlined in Neighborhood Healthcare’s Illness and Injury Prevention Plan (IIPP) and report any injuries and/or unsafe conditions immediately
  • Maintains current knowledge of policies and procedures as they relate to safe work practices
  • Follows all safety procedures and report unsafe conditions
  • Uses appropriate body mechanics to ensure an injury free environment
  • Familiarity with location of nearest fire extinguisher and emergency exits
  • Follows all infection control procedures including blood-borne pathogen protocols
  • Maintains privacy of all patients, employee and volunteer information and access such information only on a need-to-know basis for business purposes
  • Complies with all regulations regarding corporate integrity and security obligations

Pay Range: $27.21- $38.09 per hour, depending on experience

Compensation Disclosure: The posted salary range reflects the designated pay grade for this position. While this range represents the broader classification of the role, actual compensation will be based on several factors, including but not limited to: the candidate’s overall knowledge, skills, and experience, market data and industry benchmarks, internal equity within the organization, Budgetary considerations and organizational needs. As a result, placement within the range is not guaranteed, and the full pay grade range may not be utilized.
