We are seeking a St. Louis-based Benefits Specialist to work a hybrid schedule and manage all aspects of employee benefits and compliance at GrayMatter. This individual will administer benefit plans—including medical, dental, vision, life insurance, disability, and retirement—while supporting open enrollment, new hire enrollments, and life event changes. The role includes reconciling benefit invoices, maintaining documentation and communications, and collaborating with brokers and carriers on eligibility, claims, and plan updates. The Benefits Specialist will ensure compliance with federal and state regulations, support audits and reporting, and monitor legislative changes. They will also maintain accurate HRIS data, assist with system updates, and serve as the primary contact for employee benefit inquiries, onboarding/offboarding, and manager support. Additional responsibilities include cross-training in payroll administration, managing the HR shared inbox, and contributing to continuous improvement of benefits workflows.

General Job Duties:
  • Administer employee benefit plans including medical, dental, vision, life insurance, disability, and retirement; support open enrollment, new hire enrollments, and qualifying life events.
  • Reconcile monthly benefit invoices; maintain benefit documentation, guides, and employee communications; collaborate with brokers and carriers to manage eligibility, claims, and plan updates.
  • Ensure compliance with federal and state regulations (ERISA, ACA, COBRA, HIPAA, FMLA); maintain required records and filings; support audits, testing, and annual reporting (e.g., ACA 1095-C, Form 5500); monitor legislation and recommend updates.
  • Support HRIS System Administrator to ensure benefit data accuracy and system functionality; audit HRIS data for correct setup and deductions; troubleshoot data issues and assist with system testing and updates.
  • Serve as primary contact for employee benefits inquiries, providing clear guidance and timely resolution; educate employees on benefit programs, policies, and procedures; assist with onboarding/offboarding and support managers with benefits-related questions and reporting.
  • Cross-train in payroll administration and provide backup support during absences.
  • Help manage the HR department’s shared inbox, ensuring timely responses and proper routing of inquiries; contribute to continuous improvement of benefits workflows and cross-functional collaboration.
Knowledge, Skills and Experience Needed:

Required:
  • Bachelor’s degree in Human Resources, Business, or a related field; or equivalent experience
  • Minimum of 4 years of experience in benefits administration or a related HR function
  • Strong working knowledge of federal and state benefits regulations (ERISA, ACA, COBRA, HIPAA, FMLA)
  • Demonstrated ability to maintain accuracy, confidentiality, and compliance in a fast-paced environment
  • Proficiency with Microsoft Office products, including Teams
  • Ability to independently manage tasks, meet deadlines, and maintain organized workflows
  • Excellent customer service, communication, and problem-solving skills
  • Ability to handle sensitive information with discretion and maintain strict confidentiality
  • Ability to communicate effectively in English as required to perform essential job functions
  • Some travel may be involved up to 10%
Preferred:
  • Professional certification such as SHRM-CP, PHR, or a benefits-related credential
  • Experience supporting multi-state benefits administration; familiarity with Canadian benefits is a plus
  • Hands-on experience with HRIS systems; Paycor experience strongly preferred
The target annual base compensation for this position is $55,000-$65,000, based upon relevant qualifications.
