Customer Accounts & Operations Support

We are seeking a highly organized and proactive Administrative Coordinator / Administrative Specialist to support our team in administrative, customer account coordination, and operational tasks. This role requires someone with strong attention to detail, excellent communication skills, and the ability to manage multiple responsibilities in a fast-paced environment.

The ideal candidate will have experience supporting customer accounts, coordinating administrative processes, and assisting with operational activities. Over time, this position offers the opportunity to develop into an outside sales support role for candidates interested in growing their career within the company.

Compensation

Starting pay: $24–$27 per hour, depending on experience and qualifications.

Key Responsibilities

  • Provide day-to-day administrative support to management and internal teams.
  • Assist with customer account coordination, including order follow-ups, communication with customers, and maintaining accurate records.
  • Help manage customer inquiries and requests, ensuring timely and professional responses.
  • Support sales and account management activities, including preparing reports, quotes, and customer documentation.
  • Coordinate internally with operations, logistics, and warehouse teams to ensure smooth order processing and customer satisfaction.
  • Maintain and update customer files, pricing records, and operational documentation.
  • Assist with tracking orders, deliveries, and customer requirements.
  • Prepare reports and summaries for management as needed.
  • Help identify opportunities to improve administrative processes and workflow efficiency.

Qualifications

  • 3–5+ years of experience in administrative support, administrative coordination, or similar roles.
  • Experience working with customer accounts, customer communication, or account coordination.
  • Some exposure to operations, logistics, or supply chain environments is preferred.
  • Strong organizational skills and ability to prioritize multiple tasks.
  • Excellent written and verbal communication skills.
  • Comfortable working with Excel, email communication, and basic reporting tools.
  • Ability to work independently while collaborating with cross-functional teams.
  • Interest in growing into a customer-facing or outside sales support role over time.

Preferred Skills

  • Experience in food distribution, manufacturing, or logistics environments is a plus.
  • Bilingual (English / Spanish) is preferred.
  • Strong problem-solving mindset and customer-service orientation.
