Key Purpose of the Job (Position Summary)

The post holder will lead and manage the bid process from initiation through to submission, ensuring high-quality, compliant, and compelling proposals (RFI, ITT, RFP, etc.) are delivered on time. Duties include but are not limited to: overseeing the development and implementation of bid strategies, coordinating input from multiple stakeholders, managing timelines and deliverables, and ensuring adherence to all internal governance procedures, including document version control and approval processes.

Key Responsibilities

  • Lead the production and delivery of compliant, high-quality proposals (RFI, RFP, ITT, etc.) within customer-defined timeframes.
  • Manage and coordinate the full lifecycle of professional bids and submissions in close collaboration with Directors and key stakeholders.
  • Oversee and compile responses for Pre-Qualification Questionnaires (PQQs), Invitations to Tender (ITTs), and other required submission stages.
  • Coordinate and gather input from a diverse range of contributors across sales, solutioning, marketing, product, finance, legal, commercial, and project delivery teams.
  • Promote the use of collaborative tools and enforce best practices in document management, version control, and bid process governance.
  • Support the preparation of engaging presentations and related materials for client meetings and bid interviews.
  • Ensure all proposal documents are aligned with corporate branding, formatting, and quality standards.
  • Advise content contributors on document flow, tone, and language for clarity and impact.
  • Proofread and edit bid documents for grammar, consistency, structure, and brand alignment.
  • Conduct research on target clients, competitors, and market trends to strengthen the strategic positioning of bid responses.
  • Develop and maintain a central repository of reusable bid content, including case studies, CVs, templates, and standard responses.
  • Consolidate and format input from multiple contributors into cohesive, professional tender submissions.
  • Maintain, update, and securely back up master document sets to ensure document integrity and accessibility.
  • Take and distribute accurate meeting minutes, progress reports, and documentation throughout the bid process.
  • Provide support to the marketing team where necessary, including participation in marketing events and initiatives.
  • Gather feedback on both successful and unsuccessful bids, conduct post-bid reviews, and apply lessons learned to drive continuous improvement in win rates.
  • Build and maintain positive working relationships with clients and internal stakeholders throughout the bidding process.

Key Skills / Experience Required

Educational Qualification

· BSc degree in Business, Marketing or relevant field or extensive equivalent proven experience in the same or similar role.

Additional Qualifications / certifications

· Excellent computer skills including Microsoft Office Packages

Prior experience

· Familiarity with industry DTP Software

· Experience with research methods using data analytics software

· Professional understanding of document templates, macros and styles

· Excellent writing and presentation skills

· Familiarity with the themed or construction industry.

· Extensive experience in a project management role

· Proven ability in planning, producing and delivering compliant proposal documents within a complex business environment
