Bilingual ABA Intake Coordinator

Job Overview
Echo Care ABA is seeking an experienced, bilingual ABA Intake Coordinator to manage the intake process for new families and help establish organized intake, insurance, authorization, and scheduling procedures.

This is a fully in-person position at our Elizabeth, NJ office. The ideal candidate will be fluent in both English and Spanish and have direct experience handling intake for an ABA provider. Two or more years of ABA intake, authorization, or insurance-verification experience is preferred; however, candidates with strong, relevant hands-on experience will also be considered.

This is not a general receptionist position. Applicants must have practical experience with ABA intake, insurance verification, authorization tracking, family communication, and coordination with clinical and billing teams.

Responsibilities

  • Respond to new client inquiries by telephone, email, and online referral
  • Communicate professionally with families in English and Spanish
  • Explain the ABA intake process and next steps to parents
  • Collect client demographics, diagnosis documents, evaluations, referrals, insurance cards, and other required records
  • Verify insurance eligibility and ABA benefits
  • Identify prior-authorization requirements, deductibles, copays, coinsurance, and network status
  • Track authorization requests, approved dates, CPT codes, units, expiration dates, and renewals
  • Coordinate assessments and appointments with families and clinical staff
  • Maintain accurate client information, documents, tasks, and intake status in CentralReach
  • Follow up consistently with families regarding missing documents and pending requirements
  • Maintain an organized intake tracker for all prospective clients
  • Coordinate with BCBAs, billing staff, credentialing staff, and management
  • Protect confidential client information and comply with HIPAA requirements
  • Assist with front-office responsibilities, scheduling, document management, and general administrative support
  • Help create and maintain intake workflows, checklists, templates, and follow-up procedures

Required Qualifications

  • Direct experience with ABA intake, authorizations, insurance verification, client services, or a closely related ABA administrative role
  • Fluency in spoken English and Spanish
  • Practical knowledge of the ABA intake and prior-authorization process
  • Experience communicating directly with parents and caregivers
  • Knowledge of ABA insurance verification and prior-authorization processes
  • Understanding of common ABA documentation, including diagnosis reports, referrals, evaluations, treatment assessments, and insurance records
  • Strong organizational, follow-up, and documentation skills
  • Professional telephone and email communication
  • Ability to manage multiple families at different stages of the intake process
  • Ability to work independently and maintain accurate records
  • Comfortable working in a growing organization and helping establish new procedures
  • Ability to work in person at the Elizabeth, NJ office Monday through Friday

Preferred Qualifications

  • Two or more years of direct ABA intake, authorization, or insurance-verification experience
  • Direct experience using CentralReach
  • Experience independently managing cases from initial parent inquiry through authorization and service start
  • Experience with commercial insurance, Medicaid, and managed-care plans
  • Experience with Availity or other insurance portals
  • Knowledge of ABA CPT codes and authorization units
  • Experience scheduling ABA assessments and coordinating with BCBAs
  • Experience creating intake trackers, checklists, and office workflows

Ideal Candidate

The ideal candidate is organized, dependable, professional, and compassionate when communicating with families. This person should be able to explain complicated intake and insurance requirements clearly, follow up without constant supervision, identify missing information before it causes delays, and remain calm when assisting concerned or frustrated parents.

Schedule

Full-time, Monday through Friday
In-person in Elizabeth, NJ

Compensation

$26–$30 per hour, depending on direct ABA intake, authorization, insurance-verification, CentralReach, and bilingual experience.
