Bilingual Administrative Assistant

We are seeking a dynamic and detail-oriented Bilingual Administrative Assistant to join our team!

Responsibilities

  • Greet visitors and answer multi-line phone systems with professionalism and courtesy, providing exceptional customer service in both languages.
  • Manage front desk duties, including checking in guests, handling inquiries, and directing calls appropriately.
  • Maintain organized filing systems, data entry records, and ensure accurate documentation using Microsoft Office.
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently.
  • Perform general office management duties such as ordering supplies, organizing files, and maintaining office equipment.
  • Proofread correspondence and documents to ensure clarity and accuracy while adhering to company standards.

Requirements

  • Proven experience in office management or administrative support roles with a strong background in clerical tasks.
  • Bilingual proficiency in English and Spanish, with excellent verbal and written communication skills.
  • Demonstrated computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), data entry skills.
  • Familiarity with multi-line phone systems, front desk operations, and phone etiquette.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Experience with bookkeeping software such as QuickBooks is preferred but not required.
  • Excellent proofreading skills along with attention to detail in all written communication.
  • Previous office experience including customer support or personal assistant roles is highly desirable.
