Bilingual Patient Care Coordinator / Medical Assistant — Hybrid Endocrinology Practice (Newport Beach / Santa Ana / Corona)

About This Role

This is primarily an administrative coordination role in a hybrid telemedicine endocrinology practice. The position focuses on patient intake, scheduling, prior authorizations, insurance coordination, and clinical workflow support.

Important: This is NOT a broad procedural role. We do not perform blood draws, IV starts, EKGs, or general clinical procedures. Phlebotomy is not required and will not be utilized. Patients complete labs at Quest or LabCorp.

The vast majority of this role is administrative coordination and patient communication. There is a small in-office clinical component on Wednesdays (training provided), but the role is not procedural in nature.

We are seeking candidates with strong administrative coordination skills, prior authorization experience (especially with California HMO/IPA networks), bilingual English/Spanish fluency, and comfort with telemedicine workflows.

About the Practice

New Age Endocrinology is a specialty endocrinology practice serving Orange County and the Inland Empire, CA, treating patients with diabetes, thyroid conditions, hormone disorders, and other endocrine conditions. About 60% of our patients speak Spanish as a primary language, which is why bilingual fluency is essential.

We are a small, growing team — four staff members supporting one endocrinologist — where each person matters and contributes meaningfully. Our patient population is mostly stable and returning; many patients have been with us for years.

We deliver most of our care via telemedicine, with in-office visits on Wednesdays at our Newport Beach and Santa Ana offices. Our third location in Corona (Riverside County) is currently under renovation and will reopen for patient visits within 1-2 months.

Our Office Locations

  • Newport Beach office — every other Wednesday• Santa Ana office — alternating Wednesdays• Corona office (Riverside County) — currently under renovation, reopening within 1-2 months

You should be comfortable commuting to all locations as scheduled. Reliable transportation between Newport Beach, Santa Ana, and Corona is essential.

What You'll Do

This is primarily administrative and coordination work, with in-office patient support on Wednesdays. On any given day, you might:

  • Make new patient intake calls — collect demographics, insurance, pharmacy preference, lab preference• Schedule and reschedule appointments through Tebra EHR• Process prior authorizations for medications (GLP-1s, insulin, CGMs, etc.) through CoverMyMeds and IPA portals• Process referral authorizations through IPA portals (Regal, Monarch, CalOptima, Optum, AAMG, Talent, etc.)• Coordinate lab orders — send to Quest or LabCorp electronically, follow up with patients on lab completion• Coordinate imaging orders through RadNet/WaveImaging, UMIH, and other partners• Answer incoming calls through our RingCentral phone system — refill requests, scheduling, urgent concerns triage• Triage incoming faxes, lab results, and patient messages through our shared inbox• Verify patient intake forms are complete before each visit and follow up with patients who haven't completed them• Document calls and patient interactions in Tebra• Use Microsoft Teams for team coordination throughout the day• On in-office Wednesdays: greet patients, verify forms, document weight (patient-reported acceptable), provide Spanish translation support during visits, and support basic clinical workflow as needed (training provided)

The Hybrid Model — Important to Understand

Our team operates as a hybrid practice. We're in our office every Wednesday (rotating between Newport Beach and Santa Ana) — this is our consistent in-office day. Other days are remote work from home.

Important: on Wednesdays, you may be the only staff member physically present at the office that day. Other team members work remotely most days. We coordinate by Microsoft Teams throughout the day. This role suits someone who is comfortable working independently with team support via chat, but who also values having a physical workspace.

If you prefer fully remote work with no in-office presence, this role is not a fit. If you want to be in the office every day, this role is also not a fit. The right candidate is comfortable with a structured hybrid arrangement.

Once the Corona office reopens in 1-2 months, in-office days will likely expand. We're looking for someone excited about being part of our growing practice.

What We Need From You

  • Bilingual fluency in English and Spanish (required — including comfort translating medical concepts to patients)• Medical Assistant certification, Patient Care Coordinator background, or equivalent administrative healthcare experience (1+ years preferred)• Strong organizational skills — this role involves managing multiple systems and tasks throughout the day• Reliable transportation and willingness to commute between Newport Beach, Santa Ana, and Corona offices as scheduled• Comfort with technology — you'll learn Tebra EHR, RingCentral phones, Microsoft Teams, CoverMyMeds, multiple IPA portals, Adobe for documents, and email management• Comfort with telemedicine workflows — most patient interactions happen by phone, portal, or video, not in person• Genuine interest in patient communication — our patients are mostly returning patients with chronic conditions, and they remember good staff• Reliability and follow-through — small teams depend on each member completing their work without needing constant check-ins

What Helps But Isn't Required

  • Experience with Tebra (formerly Kareo) EHR• Experience with endocrinology, primary care, or chronic disease specialty practices• Experience with California IPA portals and prior authorization workflows (CalOptima, Optum, Regal, Monarch, etc.)• Experience with Microsoft Teams in a professional environment• Experience supporting telemedicine practices

About the Learning Curve

There's a real learning curve in this role. You'll use several different systems daily, and our specialty (endocrinology) has specific nuances around medications and authorizations that take a few weeks to learn fully. We have structured onboarding documentation and support from existing staff, but expect 4-6 weeks before you feel fully comfortable.

We hire people who want to learn, not people who already know everything. Curiosity and patience matter more than experience.
