Position Overview:
We are seeking a highly organized and client-focused Bilingual (Spanish) Receptionist / Legal Assistant to join our personal injury law firm. This role is critical as the first point of contact for clients, many of whom may be dealing with stressful and time-sensitive situations. The ideal candidate is compassionate, detail-oriented, and able to thrive in a fast-paced, high-volume environment while supporting attorney and case manager.
Key Responsibilities:
Reception:
- Answer and manage high-volume incoming calls in English and Spanish
- Greet clients and visitors with professionalism and empathy
- Schedule consultations, recorded statements, and appointments
- Ensure all new client information is accurately entered into the case management system
Case Support & Legal Assistant Duties:
- Assist attorneys with pre-suit and litigation files
- Draft and send letters of representation, requests for records, and other correspondence
- Order and follow up on medical records, bills, and liens
- Communicate with clients, medical providers, insurance adjusters, and opposing counsel
- Maintain and organize case files.
- Track case status, deadlines, and follow-ups to ensure timely progression
- Assist with preparing demand packages and settlement documents
- Support litigation tasks such as scheduling depositions, hearings, and mediations
- E-file documents and assist with discovery responses as needed
Qualifications:
- Fluent in English and Spanish (required)
- Prior experience in a personal injury law firm strongly preferred
- Experience with client intake and case management systems preferred
- Strong understanding of personal injury case flow (pre-suit through litigation) is a plus
- Excellent communication and customer service skills
Education & Experience:
- High school diploma or equivalent required
- 1–3 years of experience in a law firm, preferably in personal injury
- Prior receptionist or legal assistant experience is highly desirable
