Billing Assistant

Job description:

Position Summary
The Billing Assistant supports the full revenue cycle by ensuring accurate billing, timely payment posting, effective denial management, and clear communication with clients, clinicians, and insurance representatives.

This role requires strong attention to detail, the ability to manage complex insurance plans, and consistent follow-through on claims, payments, and account issues. The Billing Assistant works closely with internal clinical teams and external partners, including Enlightened, to maintain financial accuracy, compliance, and client satisfaction.

Qualifications

  • High school diploma or equivalent required; Associate’s degree or certification in medical billing preferred
  • 2+ years of experience in medical or mental health billing, with emphasis on insurance claims and patient invoicing
  • Strong knowledge of CPT and ICD-10 coding
  • Experience with insurance billing platforms and EHR systems
  • Familiarity with mental health billing guidelines, including Medicaid, Medicare, and commercial insurance plans
  • Excellent attention to detail and problem-solving skills
  • Ability to maintain confidentiality and comply with HIPAA regulations
  • Proficiency with billing software, spreadsheets, and electronic communication tools
  • Strong communication skills with the ability to explain billing matters clearly and respectfully to clients

Key Responsibilities

Claims Management

  • Submit initial and corrected claims through EHR and insurance portals
  • Monitor claim status and resolve rejections, denials, and underpayments
  • Coordinate and track secondary claim submissions

Payment Posting & Reconciliation

  • Accurately post payments via ERAs and manual EOBs
  • Reconcile payments against claims and client ledgers
  • Identify and escalate discrepancies

Denial Management & Appeals

  • Review and analyze denied claims
  • Prepare and submit appeals with supporting documentation
  • Track and document appeal outcomes

Insurance Verification

  • Verify benefits for complex insurance plans
  • Confirm coverage, authorizations, and payer requirements
  • Communicate findings to billing staff and clinicians

Client Billing & Account Management

  • Process copays and daily payments
  • Apply credit adjustments and generate statements
  • Maintain and monitor payment plans

Client Communication

  • Respond to billing and insurance inquiries
  • Provide clear explanations of charges, balances, and coverage
  • Coordinate follow-up as needed

Insurance Refunds & Recoupments

  • Track refund requests and monitor timelines
  • Process refund checks and maintain proper documentation

Reporting & Documentation

  • Maintain the Enlightened Claims Issues spreadsheet
  • Track secondary claims and follow up with assigned representatives
  • Ensure audit-ready documentation and compliance

Team & Clinician Support

  • Assist clinicians with coding, invoicing, documentation, and payer requirements
  • Provide internal billing support as needed

Credentialing Support

  • Assist with provider credentialing documentation and maintenance
  • Follow up on applications and re-credentialing requirements

Administrative Duties

  • Receive, scan, file, and distribute billing and insurance mail
  • Participate in weekly meetings and collaborate with billing team members to prioritize workflow
