Role Overview

The Billing Executive plays a vital role in ensuring smooth coordination between Sales Team, Franchise partners, Dispatch team, and Transporters. The role involves accurate billing, dispatch coordination, documentation, record-keeping, and supporting logistics operations to ensure timely and correct delivery of goods.

Key ResponsibilitiesBilling & Documentation

  • Create accurate bills/invoices for every order received.
  • Ensure correct party name, product details, quantity, rate, GST, and totals.
  • Share billing details with the dispatch team on time.
  • Maintain invoice records (physical and digital).

Dispatch & Logistics Coordination

  • Coordinate with dispatch team for timely dispatch of goods.
  • Verify correct goods are dispatched as per invoice.
  • Ensure proper labeling and party identification.
  • Coordinate with transporters for vehicle arrangement, LR details, and dispatch confirmation.
  • Assist in loading and unloading of goods when required.

Sales & Franchise Coordination

  • Coordinate with Sales Team and Franchise partners for order confirmation.
  • Track franchise orders, advance parties, and pending payments.
  • Communicate dispatch status to sales/franchise teams.

Verification & Control

  • Verify goods before dispatch against invoice.
  • Check party name, quantity, batch, and product accuracy.
  • Ensure zero mismatch between bill and dispatched material.

MIS & Reporting

  • Fill and maintain daily, weekly, and monthly formats.
  • Maintain billing MIS, dispatch MIS, and collection tracking.
  • Update advance party records and outstanding payment status.
  • Share reports with management as required.

Records & Compliance

  • Maintain proper documentation of bills, dispatch proofs, LR copies.
  • Ensure data accuracy and timely updates in Excel / Google Sheets.

Skills & Competencies

  • Proficient in MS Excel / Google Sheets (billing sheets, MIS, tracking).
  • Good communication and coordination skills.
  • Basic knowledge of GST billing and logistics process.
  • Attention to detail and accuracy.
  • Ability to multitask and handle pressure situations.
  • Willingness to support warehouse activities when required.

Qualifications & Experience

  • Graduate preferred (Commerce / Any stream).
  • 1–3 years of experience in billing, dispatch, or operations support.
  • Experience in FMCG / Pharma / Nutrition industry preferred.

Job Types: Full-time, Permanent

Pay: ₹10,000.00 - ₹12,000.00 per month
