Job Purpose:
To act as the primary point of contact for customers requiring accident repairs, coordinate repair processes with the body shop team, prepare job cards, manage estimates, ensure timely repairs, and deliver an excellent customer experience.
Key Responsibilities:1. Customer Service & Communication
- Greet customers and understand their body repair requirements.
- Record customer concerns, vehicle damage details, and repair needs.
- Explain the repair process, timelines, and cost estimates clearly.
- Provide regular updates to customers throughout the repair cycle.
- Handle customer queries, complaints, and follow-up requests professionally.
2. Vehicle Damage Assessment
- Conduct initial visual inspection of vehicle damages.
- Coordinate with Bodyshop Estimator/Foreman for technical assessment and accurate estimation.
- Capture photos, document damages, and prepare customer reports.
3. Job Card Preparation & Workflow Coordination
- Create job cards with complete damage details and customer instructions.
- Coordinate workflow between bodyshop technicians, painters, and estimators.
- Schedule vehicles for repair and ensure timely job completion.
- Track work progress and update system records accordingly.
4. Insurance Coordination
- Coordinate with insurance assessors for approvals and supplemental estimates.
- Ensure all required documents and photos are submitted to insurers.
- Follow up on pending approvals and claims.
- Communicate insurance-related decisions to customers.
5. Quality Control & Delivery
- Inspect the vehicle after repairs to ensure quality standards are met.
- Coordinate with the quality control team for final checks.
- Prepare delivery notes and ensure the vehicle is handed over in good condition.
- Explain repairs completed, warranty details, and final invoices to customers.
6. Documentation & Reporting
- Maintain accurate records of job cards, estimates, approvals, and invoices.
- Update daily logs and submit performance reports to the Bodyshop Manager.
- Ensure all documentation complies with company and insurance guidelines.
Qualifications & Skills:
- High school diploma or relevant automotive certification.
- Minimum 1–2 years of experience as Service Advisor or Bodyshop Advisor in automotive industry.
- Strong knowledge of bodyshop processes, repair techniques, and insurance procedures.
- Excellent communication and customer service skills.
- Ability to multitask and work under pressure.
- Good computer skills (DMS, MS Office, estimation software).
