Part-time Bookkeeper Position

About us: The Pullman story is an American one, steeped in the resiliency and ingenuity of its people and its built landscape. Its history is dotted with rail innovation, land both labor and civic movements that shaped the course of American history. In our role as the official Friends Group and Philanthropic Partner for Pullman National Historical Park, we raise funds to support PNHP priorities, augment their programs, and manage volunteers. We also continue the role we’ve played since 1973, preserving the buildings, documents, and artifacts that tell the Pullman story now and for future generations.

The Role

This is a multi-faceted role responsible for the day-to-day financial management of the organization. You will handle everything from standard nonprofit fund accounting to tracking the "nuts and bolts" of our retail gift shop inventory. We estimate this will be approximately 10 to 15 hours per week.

Key Responsibilities

  • Core Bookkeeping: Maintain accurate financial records in QuickBooks, including accounts payable/receivable and bank reconciliations.
  • Nonprofit Compliance: Track restricted and unrestricted funds; assist in preparing financial reports for Board meetings and grant reporting.
  • Record Donations: Record donations and grants received.
  • Retail & Inventory Management: * Record and reconcile daily sales from the gift shop.
  • Track inventory levels and assist in periodic physical audits.
  • Manage vendor payments and cost-of-goods-sold (COGS) reporting.
  • Payroll & Taxes: Process bi-weekly payroll and ensure timely filing of sales tax and 1099s.

Qualifications

  • Experience: 2+ years of professional bookkeeping experience.
  • Tech Savvy: Advanced proficiency in QuickBooks is a must
  • Attention to Detail: Ability to reconcile physical inventory with digital records accurately.
  • Mission-Driven: A genuine interest in supporting a nonprofit environment.
