Part-Time Bookkeeper: Learning Center
We are seeking a detail-oriented Part-Time Bookkeeper to manage the day-to-day financial operations of our Learning center. This role is critical for ensuring our center remains financially healthy so we can focus on providing high-quality care and education to our children.
Job Summary
The ideal candidate will be a self-starter with strong organizational skills and a mastery of both QuickBooks Online and a willingness to learn ProCare software. You will be responsible for accurate record-keeping, billing, payroll, and financial reporting.
Key Responsibilities
- Accounts Receivable & Parent Billing: Use ProCare to manage tuition charges, registration fees, and family discounts. Handle billing for subsidized families and agency payments (e.g., DHS/Head Start).
- Software Integration: Sync ProCare invoices and payments with QuickBooks Online in real-time to maintain a unified financial record.
- Accounts Payable: Record daily transactions, track vendor payments (supplies, rent, utilities), and manage expense categories. perform yearly tracking for completion of 1099 reporting at year end.
- Payroll Processing: Position is responsible for the weekly payroll posting to the GL and reconciliation of all tax accounts.
- Financial Reporting: Prepare monthly balance sheets, profit & loss statements, and cash flow reports to assist management with budgeting. Assist with compiling audit package for year-end 3rd party financial audit.
- Reconciliation: Perform monthly balance sheet reconciliations (Quickbooks to General Ledger) for all active accounts to ensure accuracy.
- Budgeting: Assist financial board with the annual budget, tracking budget to actual results monthly as part of financial reporting.
- Reporting This position will work closely with the Director and Assistant Director of the Learning Center weekly as well as the Learning Center Financial Board for all financial transactions.
Qualifications
- Software Expertise: MUST have proven proficiency in QuickBooks Online and willing to learn ProCare Solutions software.
- Experience: 1–3 years of bookkeeping experience, preferably in a childcare or education setting.
- Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is preferred.
- Skills: Strong attention to detail, ability to work independently, and understanding of basic accounting principles.
