Bookkeeper / Administrative Assistant

Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will support our daily operations by managing various administrative tasks, ensuring efficient office functionality, and providing assistance in accounting-related activities. This role is crucial for maintaining smooth communication within the organization and with external stakeholders.

Responsibilities

  • Provide administrative support including scheduling meetings, managing calendars, and handling correspondence.
  • Assist in accounting functions such as accounts payable and receivable, payroll processing, and bank reconciliation.
  • Maintain accurate financial records using accounting software such as QuickBooks, Quicken, Sage, or Xero.
  • Perform general ledger accounting tasks including journal entries, account reconciliation, and balance sheet reconciliation.
  • Prepare financial reports and assist with budgeting processes while adhering to GAAP standards.
  • Conduct account analysis and provide insights on financial concepts to support decision-making.
  • Ensure compliance with governmental accounting regulations when applicable.
  • Manage filing systems for both physical and digital documents to ensure easy retrieval of information.
  • Utilize 10 key typing skills for data entry tasks efficiently.
  • Collaborate with team members on various projects to enhance operational efficiency.

Experience

  • Proven experience in an administrative role, preferably within an accounting or finance environment.
  • Familiarity with corporate accounting practices and non-profit accounting is a plus.
  • Proficiency in financial software and tools related to bookkeeping and technical accounting.
  • Strong understanding of double-entry bookkeeping principles and financial report writing skills.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously while meeting deadlines.
