Bookkeeper / Administrative Assistant - Mandarin Speaking

Overview
We are seeking a dynamic and detail-oriented Bookkeeper / Administrative Assistant to join our team. This vital role combines essential bookkeeping responsibilities with administrative support, ensuring smooth office operations and accurate financial management. Duties

  • Manage day-to-day bookkeeping tasks using MyCase, including invoicing, expense tracking, and account reconciliation
  • Handle front desk responsibilities, greeting visitors and clients with professionalism and warmth
  • Operate multi-line phone systems, directing calls efficiently and providing exceptional customer support
  • Maintain organized filing systems for financial documents, client records, and administrative files
  • Support office management by coordinating calendar appointments, scheduling meetings, and managing correspondence
  • Assist with data entry, proofreading documents, and maintaining accurate records in Google Workspace and Microsoft Office applications
  • Provide excellent customer service through phone etiquette, email communication, and in-person interactions

Requirements

  • Proven experience with accounting software for bookkeeping tasks
  • Strong office management skills with prior administrative or clerical experience
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Ability to operate multi-line phone systems with professionalism and courtesy
  • Bilingual abilities in Mandarin Chinese are required
  • Exceptional organizational skills with attention to detail in data entry, filing, and proofreading
  • Experience as a dental or medical receptionist or personal assistant is advantageous but not required
  • Strong time management skills to prioritize tasks efficiently in a fast-paced environment
  • Demonstrated customer service expertise with good phone etiquette and support skills
