BOOKKEEPING & PAYROLL SPECIALIST

JOB OVERVIEW
We are seeking an energetic, detail-oriented Bookkeeping & Payroll Specialist to join our team. In this pivotal role, you will serve as the primary bridge between our accounting functions and our workforce data.
This is not a data-entry role; it is an ownership role. We need a Paychex Power User, Excel Guru, and someone with Deep AI experience who can manage comprehensive bookkeeping functions, oversee complex payroll processing, and handle the technical integration between our HR and Financial systems.

KEY RESPONSIBILITIES
1. Payroll Administration & Compliance
- Paychex Mastery: Execute full-lifecycle management of all Paychex modules. Process payroll accurately and on schedule, ensuring compliance with tax laws and payroll regulations.
- Workers’ Comp Audit Defense: Serve as the lead for Workers' Comp Audits. Independently generate, organize, and explain all payroll and classification files required by auditors to ensure compliance and cost accuracy.
- Custom Reporting: Custom-build analytics using the Paychex reporting module to support financial decision-making.
2. Benefits Administration
- Total Rewards Management: Responsible for determining and administering the organization's benefits, including:
- Retirement: Managing IRA plans and contributions.
- Health: Selecting and overseeing Health, Dental, and Vision insurance.
- Ancillary: Coordinating Life, Disability, and supplemental insurance.
- EAP: Managing the Employee Assistance Program.
3. Technology & Efficiency
- Excel Guru: Utilize advanced Excel skills (VLOOKUP, Pivot Tables, Macros) to analyze financial data and create trackers.
- AI Implementation: Actively use Google Gemini with smart prompting to draft financial narratives, analyze data sets, and automate repetitive administrative tasks.
- Tech Stack: Maintain a highly organized digital environment within Google Drive, Sheets, and Docs and manage SaaS-based CRM tools.
4. Core Bookkeeping & Financial Reporting
- General Ledger & Reconciliations: Perform bank reconciliations, account analysis, and balance sheet reconciliations to ensure all accounts are balanced and up-to-date. Prepare journal entries for various financial transactions including debits, credits, and double-entry bookkeeping.
- QuickBooks Desktop Automation: Manage the manual-to-digital data flow for our desktop environment. You must automate the download of reports to PDF from Paychex/Banks, manage the upload/entry into QB Desktop, and perform full reconciliation.
- QuickBooks Online (QBO) Integration: Manage the API-based integration between Paychex and QBO. Ensure seamless cloud-based reconciliation and troubleshoot any API data mapping errors.
- AP/AR Management: Manage accounts payable and receivable processes to ensure timely payments and collections.
QUALIFICATIONS
Financial Expertise
- Proven experience with QuickBooks (Both Desktop & Online) is required.
- Strong understanding of corporate accounting principles, double-entry bookkeeping, and general ledger accounting.
- Ability to perform 10-key typing efficiently for data entry tasks.
Payroll & HR Expertise:
- Deep, hands-on experience with Paychex (Reporting, Payroll, Benefits modules).
- Experience managing Workers' Comp audits and Benefits packages (IRA, Health, etc.).
Technical Proficiency:
- Advanced Microsoft Excel skills are non-negotiable.
- Expert-level familiarity with Google Workspace.
- Demonstrated ability to use generative AI (Google Gemini) for productivity.
Pay: $54,000.00 - $68,000.00 per year
