Senior Bookkeeper & Tax Specialist (USA Accounting Experience Required)
Remote | Part-Time | Experienced with U.S. Firms & IRS Compliance
We are seeking a high-level, U.S.-experienced Bookkeeper & Tax Specialist; someone FAR beyond a basic accountant. This role requires deep knowledge of U.S. bookkeeping standards, U.S. tax laws, IRS guidelines, state regulations, and individual/business tax filing.
If you’ve only worked in a local market, this role is not for you.
We need someone who can manage end-to-end accounting AND confidently file taxes for U.S.-based clients.
About the Role
You will oversee full-charge bookkeeping, monthly financials, reconciliations, tax preparation, tax filing, and financial compliance for U.S.-based companies and individuals. You must understand how American businesses run financially; from chart of accounts to IRS audits.
Key Responsibilities
- Manage full-cycle bookkeeping for U.S.-based businesses (monthly, quarterly, annual).
- Perform accurate bank, credit card, and account reconciliations.
- Prepare and maintain financial statements (P&L, Balance Sheet, Cash Flow).
- Handle payroll entries, payroll taxes, 1099 preparation, and vendor management.
- Prepare and file Individual Tax Returns (Form 1040).
- Prepare and file Business Tax Returns (1120, 1120S, 1065).
- Prepare and file Sales Tax, Franchise Tax, and State-level reports.
- Maintain compliance with all IRS and State tax regulations.
- Manage year-end closing, adjusting entries, and depreciation schedules.
- Work inside U.S. accounting software (QuickBooks Online, Xero, Wave, Gusto, etc.).
- Communicate with CPAs, tax authorities, and clients professionally.
- Assist in tax planning, deductions strategy, and audit preparation.
- Identify discrepancies, clean messy books, and fix prior-year accounting when needed.
- Track accounts payable & receivable; manage invoicing cycles.
- Protect financial information and maintain strict confidentiality.
Required Skills & Qualifications
- Mandatory experience working with U.S. companies or U.S. clients.
- Strong knowledge of U.S. GAAP, IRS rules, tax codes, and state compliance.
- Experience filing U.S. individual and business tax returns (1040, 1120, 1120S, 1065).
- Ability to manage bookkeeping + tax filing without supervision.
- Expert in QuickBooks Online (QBO). Certification is a plus.
- Experience with Xero, Wave, Gusto, ADP, or similar tools.
- Strong command of English ; written and verbal.
- Excellent attention to detail, analytical thinking, and problem-solving.
- Ability to create clean, accurate books for tax season.
- Experience preparing financial reports for U.S. CPA-level reviews.
- Ability to handle multi-entity bookkeeping.
- Familiarity with U.S. payroll, 1099 forms, W2/W9 procedures.
- Ability to work U.S. hours (partially or fully).
- Strong understanding of deductions, credits, small-business tax optimization, and compliance.
Preferred
- Experience in CPA firm or U.S. tax office.
- IRS Enrolled Agent (EA) or working toward EA certification.
- Experience handling IRS notices or audits.
- Experience cleaning messy books and rebuilding systems from scratch.
