Responsibilities
- Manage daily bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations
- Handle front desk duties such as greeting visitors, managing multi-line phone systems, and directing calls with professional phone etiquette
- Maintain organized filing systems for financial documents, client records, and administrative files
- Provide exceptional customer support via phone, email, or in person, ensuring a positive experience for clients and visitors
- Assist with calendar management and scheduling appointments for staff or clients using Google Workspace or Microsoft Office tools
- Perform data entry tasks with accuracy and efficiency, including updating spreadsheets and maintaining databases
- Support office management activities such as ordering supplies, managing office equipment, and overseeing general clerical duties like proofreading and document preparation
Skills
- Proficiency in QuickBooks accounting software and strong computer literacy across Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Previous office experience with clerical responsibilities including filing, data entry, and document proofreading
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong customer service skills combined with professional phone etiquette and experience handling multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience as a dental or medical receptionist or personal assistant is a plus, especially for calendar management and appointment scheduling
- Knowledge of bookkeeping principles along with familiarity in office management practices to ensure smooth daily operations
