Bookkeeper/Administrative Assistant

Bookkeeper/Reception Responsibilities

The front Desk Associate will greet guests as they enter and provide control of the front door. This position will provide assistance to clients requests along with any inquiries. The position will provide administrative organization, data entry and other administrative duties. This position will assist in the day-to-day operations of an accounting firm, to include general bookkeeping and backup payroll processing.

APPEARANCE-RULES

Maintain neat appearance

Attends all staff meetings as directed

Works when scheduled and adheres to company attendance policies

Performs other reasonable work assignments as directed

SKILLS & RESPONSIBILITIES

Addresses caller’s requests and/or takes appropriate messages noting caller’s name and number, time and date of call

Registers all telephone inquiries in the phone log/pad, transfers messages to the appropriate staff member

Responsible for following up on telephone inquiries to ensure that the appointment was booked properly

Answer, screen and direct all incoming telephone calls

Taking and relaying messages to the appropriate individuals

Maintain incoming and outgoing mail and document log

Schedule appointments, conference calls and meetings

Maintain company phone extension directory

Maintain calendar updates

Provide general administrative and clerical support for the office

Account maintenance; updating all notes reflecting the status of the account

Enroll clients into various software and update current client files

Understanding of basic accounting principles is required

Computer skills are required.

COMMUNICATION

Enthusiastically greets each guest promptly using the proper greeting for time of day to create a friendly positive entrance and departure.

Answers phone by the third ring in a professional and courteous manner and uses proper phone greeting techniques.

Ensure that all visitors, callers and clients are treated with care and expert attention

Provide professional communication in person and by phone, as well as, email and instant messaging

Greet clients and follow all client registration protocols

Excellent customer service skills are required

Ability to communicate effectively with both staff and clients

Ability to communicate effectively verbally, non-verbally and in writing is required

Ability to multi-task.

Effective organization and communication skills a must

High attention to detail and ability to follow established processes.

ADDITIONAL DUTIES

Provides security and control to the front door

Cleans and maintains the front desk area according to Company standards.

Follow proper opening and closing procedures

Light cleaning of common areas as needed

Maintain mail supplies, supply room, ensure break room is well stocked, order supplies, coffee and other needed items

Ensure the reception area is professional and welcoming

Keep CPA owner informed and on task

Job Type: Full-time

Pay: $15.00 - $17.00 per hour

Education:

  • High school or equivalent (Preferred)

Experience:

  • QuickBooks: 1 year (Preferred)
  • Bookkeeping: 1 year (Preferred)
