Responsibilities
- Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
- Handle front desk duties, greeting visitors and clients with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently with proper phone etiquette
- Maintain organized filing systems, data entry, and document proofreading to ensure accuracy and accessibility
- Support office management activities such as calendar scheduling, appointment setting, and supply inventory management
- Assist with customer service by responding to client questions and providing support via email or phone
- Perform clerical duties including copying, scanning, mailing, and maintaining office supplies
Experience
- Proven experience in office administration or clerical roles with a strong background in customer service and data entry
- Familiarity with QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong typing skills and computer literacy are essential for accurate data management
- Bilingual abilities are a plus to effectively communicate with diverse clients or team members
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
- Demonstrated ability to manage time effectively while handling multiple responsibilities simultaneously
