Overview
We are seeking a detail-oriented and highly organized Bookkeeper/Administrative Assistant to join our dynamic team. This role is vital in ensuring the smooth operation of our office through accurate financial management and efficient administrative support. The ideal candidate will possess strong computer skills, excellent organizational abilities, and a proactive attitude to handle a variety of clerical and bookkeeping tasks. Bilingual proficiency is a plus, as is experience in office management and customer service. Duties
- Manage day-to-day bookkeeping responsibilities using QuickBooks, including invoicing, expense tracking, and bank reconciliations.
- Provide front desk support by greeting visitors, managing multi-line phone systems, and directing calls with proper phone etiquette.
- Maintain organized filing systems for financial documents, client records, and administrative files to ensure easy access and compliance.
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.
- Assist with data entry, proofreading documents, and maintaining accurate records through Microsoft Office and Google Workspace applications.
- Deliver exceptional customer support by addressing inquiries promptly and professionally via phone or email.
- Perform clerical duties including typing correspondence, managing office supplies, and supporting personal assistant responsibilities as needed.
- Contribute to a positive office environment by demonstrating strong organizational skills, time management, and attention to detail in all tasks.
Qualifications
- Proven experience in office administration with a focus on bookkeeping using QuickBooks or similar accounting software.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Previous clerical experience including data entry, filing, proofreading, and document management.
- Exceptional customer service skills with professional phone etiquette and communication abilities.
- Bilingual capabilities are preferred to support diverse client interactions.
- Experience as a dental or medical receptionist or personal assistant is advantageous but not required.
