Bookkeeper/Administrative Assistant

Responsibilities

  • Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations
  • Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Maintain organized filing systems for financial documents, client records, and administrative files
  • Support office management activities including calendar management, appointment scheduling, and coordinating meetings
  • Perform data entry with high accuracy for billing, customer information, and internal reports
  • Assist with proofreading correspondence, reports, and other documents to ensure clarity and professionalism
  • Provide excellent customer support by addressing inquiries promptly via phone or email and offering courteous assistance

Skills

  • Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with the ability to multitask efficiently in a busy office environment
  • Excellent typing speed and data entry skills with attention to detail
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with Google Workspace applications such as Gmail, Drive, Docs, and Calendar management
  • Knowledge of office management procedures including filing systems and clerical tasks
  • Effective communication skills demonstrating professional phone etiquette and customer service expertise
  • Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
  • Ability to handle confidential information discreetly while maintaining high levels of accuracy in bookkeeping tasks
