Overview
We are looking to hire a part time Bookkeeper/Administrative Assistant, where your detail-oriented approach will keep our office running smoothly and efficiently. In this vital role, you will assist in managing financial records and support daily administrative operations. we someone with a proactive mindset and strong organizational skills that will help us maintain accurate bookkeeping, streamline office processes including accounts payable and accounts receivable. you will also need to assist with statement and invoice audits.
Responsibilities
- Maintain accurate financial records using QuickBooks and other accounting software, including data entry, invoicing, and expense tracking
- Manage front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle calendar management and appointment scheduling for staff and clients, ensuring efficient time management
- Support office management tasks including filing, proofreading documents, and organizing digital and physical records
- Perform clerical duties such as data entry, filing, proofreading documents, and managing correspondence using Microsoft Office and Google Workspace tools
- Assist with personal assistant tasks as needed, including calendar updates and task prioritization and office supply runs to enhance overall office productivity
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in QuickBooks for bookkeeping tasks; familiarity with Microsoft Office (Word, Excel) and Google Workspace is essential
- Excellent computer literacy with the ability to manage multiple software platforms efficiently
- Strong communication skills in English; bilingual abilities are a plus for serving diverse clients
- Experience with front desk operations, multi-line phone systems, and phone etiquette is highly desirable
- Previous experience in construction receptionist roles is advantageous but not required
- Demonstrated ability to handle confidential information discreetly while maintaining high accuracy in data entry and recordkeeping
